Job Overview: The Regional CoordinationTechnical Officer plays a crucial role in providing high-level coordination, administrative, and technical support to the MENA Regional Team, with a primary focus on assisting the MENA Management Team (MMT) and the wider Regional Management Team. This position is essential for effective planning, coordination, and follow-up of regional priorities, meetings, strategic initiatives, internal communication, and regional and global reporting processes. The officer is responsible for facilitating collaboration between the MENA Regional Team, Country Offices, Head Office, and other stakeholders through strong information management, coordination, and administrative support across regional functions and initiatives. Additionally, the role includes providing coordination and technical support to operational support functions in the region, such as Health, Access and Safety (HAS), by assisting with regional planning, trainings, reporting processes, compliance tracking, information management systems, and communication platforms. The position is vital for strengthening regional coordination, ensuring operational consistency, and timely follow-up across MENA while managing sensitive and confidential information with professionalism and discretion.
Duties and Responsibilities: The duties and responsibilities of the Regional Coordination Technical Officer include providing high-level executive and administrative support to the MENA Regional Team, which encompasses calendar management, prioritization of engagements, meeting preparation, documentation, and follow-up on action points. The officer will coordinate internal communication, information sharing, and collaboration between the MENA Regional Team, Country Offices, and Head Office to facilitate effective decision-making and implementation. Responsibilities also include preparing, consolidating, and maintaining reports, trackers, briefing materials, presentations, and other management documentation as required. The officer will ensure effective information management, document control, and maintenance of relevant filing systems, databases, SharePoint sites, and communication platforms. Furthermore, the officer will coordinate logistical and administrative arrangements for regional meetings, workshops, seminars, missions, and other regional events, monitor follow-up on key management actions, deadlines, compliance requirements, and reporting commitments across relevant functions, and handle confidential and sensitive information with discretion and professionalism. The officer will identify opportunities to improve administrative, coordination, and information management processes within the regional team and ensure compliance with NRC policies, guidance, and procedures, specifically regarding administrative and coordination processes. Specific responsibilities include coordinating MENA management meetings, strategy sessions, governance processes, trainings, and regional workshops, providing direct coordination and administrative support to MENA Regional Team senior managers, maintaining regional information management systems and coordination tools, preparing executive briefings and other materials for engagement with Country Offices and external stakeholders, supporting coordination and follow-up of regional operational priorities, and planning and facilitating induction programs for senior staff and regional team members.
Required Qualifications: The position requires a minimum of 3 years of relevant experience in coordination, executive support, operations, program support, or organizational management within an international organization, humanitarian or development agency, diplomatic mission, multilateral institution, NGO, or a similar complex operating environment. Candidates should possess strong skills in information management, reporting, planning, and the preparation of management documentation and executive briefings. The ability to work independently, manage multiple priorities, and exercise sound judgment with limited supervision is essential. Additionally, candidates should have a relevant academic background in Business Administration, Management, International Relations, Public Administration, or a related field. Context-related skills, knowledge, and experience in supporting governance processes, operational planning, compliance tracking, information management, and organizational reporting are also required. Strong stakeholder management and coordination skills, with the ability to work effectively across geographically dispersed teams and organizational levels, are crucial, along with excellent written and verbal communication skills in English.
Educational Background: Candidates must have a relevant academic background, ideally holding a degree in Business Administration, Management, International Relations, Public Administration, or a related field. This educational foundation is essential for understanding the complexities of the role and effectively managing the various responsibilities associated with the position.
Experience: The position requires a minimum of 3 years of relevant experience in coordination, executive support, operations, program support, or organizational management. This experience should ideally be within an international organization, humanitarian or development agency, diplomatic mission, multilateral institution, NGO, or a similar complex operating environment. Candidates should demonstrate a proven track record of managing multiple priorities and exercising sound judgment in their previous roles.
Languages: The mandatory language for this position is English, with excellent written and verbal communication skills required. Proficiency in additional languages may be considered an asset, particularly languages relevant to the MENA region, as they can enhance communication and collaboration with diverse stakeholders.
Additional Notes: This recruitment is open to internal candidates only. The duty station for this position is Amman, Jordan. The contract is a fixed-term contract until 31 December 2026, with the possibility of renewal based on performance, funding, and the need for the position. The role may require travel of up to 5%. The salary and benefits are based on Grade 6 according to NRC Jordan's salary scale and terms and conditions.
