Job Overview:
The Programme Management Assistant position is situated within the Sub Regional Office for Southern Africa (SRO-SA) in Lusaka, Zambia. The incumbent will provide essential administrative and programme support under the supervision of the Chief Inclusive Industrialization Section. This role involves coordinating programme/project planning and preparation, monitoring the status of proposals, compiling and summarizing information on specific projects, and ensuring compliance with relevant rules and procedures. The assistant will also serve as a focal point for administrative coordination, liaising with various organizational units to facilitate the implementation of programme/project activities. The position requires a proactive approach to problem-solving, effective communication skills, and the ability to manage multiple tasks efficiently.

Duties and Responsibilities:
The Programme Management Assistant will be responsible for a variety of tasks including: assisting in the coordination of programme/project planning and preparation; monitoring the status of programme/project proposals; compiling and summarizing data on specific programmes/projects; reviewing project documents for completeness and compliance; serving as a focal point for administrative coordination; compiling and entering data on project delivery; drafting correspondence and reports; providing general office assistance; responding to complex information requests; maintaining files and records; organizing meetings and workshops; providing guidance to new staff; assisting with data collection and analysis; and performing other duties as assigned. This role requires a high level of organization, attention to detail, and the ability to work collaboratively with diverse teams.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. Training in programme, project administration, or a related field is desirable. The role requires knowledge of internal policies and procedures related to programme/project administration, implementation, and evaluation. Candidates should demonstrate professionalism, effective communication skills, and the ability to work well under pressure. A strong understanding of budgeting and financial management is also essential, along with the ability to apply good judgment in various situations.

Educational Background:
A high school diploma or equivalent is required for this position. Additional training in programme or project administration, or a related field is considered desirable. While a first-level university degree may reduce the required work experience, it is not mandatory for all candidates.

Experience:
Candidates should have a minimum of five years of experience in programme or project administration, technical cooperation, or a related area. This requirement is reduced to three years for candidates who possess a first-level university degree or higher. Experience working with the United Nations system or similar international organizations is advantageous. Additionally, at least one year of experience in data analytics or a related area is desirable.

Languages:
English is the mandatory working language for this position, with a required proficiency level of UN Level II in reading, writing, listening, and speaking. French is considered a desirable language, also requiring a proficiency level of UN Level II in all aspects. Candidates should be able to communicate effectively in both languages, with a focus on clarity and understanding in a professional context.
