Job Overview:
The Administrative Assistant for the Earth for Life (EFL) program plays a crucial role in supporting the Strategic Planning and Finance (SPF) team by providing comprehensive administrative assistance. This position is designed for individuals who are organized, detail-oriented, and possess strong communication skills. The Administrative Assistant will be responsible for a variety of tasks that ensure the smooth operation of the SPF team, including managing schedules, processing financial transactions, and coordinating meetings and events. The role requires a proactive approach to problem-solving and the ability to work collaboratively with team members and external partners. The Administrative Assistant will also be involved in onboarding new staff, ensuring they have the necessary resources and support to succeed in their roles. This position is hybrid, requiring a minimum of two days a week in the office, and is ideal for someone who thrives in a dynamic work environment.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Assistant include but are not limited to:
  • Communication: Responding to and scheduling meetings for supervisors and team members, managing email correspondence, greeting visitors, and addressing inquiries related to departmental procedures.
  • General Office Duties: Managing schedules, making travel arrangements, and performing miscellaneous office tasks to support the team.
  • Financial Support: Reviewing and processing payments for credit card transactions and invoices, inputting coding into financial systems, preparing check requests, and liaising with Program Operations to track payments.
  • Meetings and Events: Arranging meetings, including attendee coordination, space rental, AV needs, catering, and material preparation.
  • File Management: Maintaining the SPF team's online file repository, ensuring documents are organized and accessible.
  • Onboarding: Supporting the onboarding process for new staff, coordinating schedules, and ensuring they have the necessary resources.
  • Other Duties: Performing additional tasks as assigned by supervisors, demonstrating flexibility and adaptability in a fast-paced environment.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, along with 1 to 4 years of experience in an administrative assistant or similar role. Proficiency in the MS Office Suite (Outlook, Word, PowerPoint, and Excel) is essential. Strong oral communication skills, good organizational abilities, and effective writing skills are required. Experience with expense reporting and travel arrangements is necessary, as well as interpersonal skills that demonstrate courtesy, tact, and diplomacy. The ability to take initiative, prioritize tasks, and meet deadlines with minimal supervision is crucial.
