Job Overview: The Records Management Professional will play a crucial role in establishing, implementing, and maintaining best practices for records management across CERN. This position involves close collaboration with the Archivist, the Archives Assistant, and the Data Governance Officer to ensure effective management of information throughout its lifecycle. The successful candidate will coordinate and oversee records management practices, provide operational support for various records management activities, and contribute to policy development. The role also includes developing retention schedules, leading innovation initiatives, and delivering training to users, ensuring that records management practices are aligned with organizational goals and standards.
Duties and Responsibilities:
Coordinate and oversee records management practices across CERN, including the Departmental Records Officers (DRO) network.
Provide operational support for records management activities, including data and metadata processing, quality control, and digital migration.
Establish a records management implementation strategy and related processes and procedures, contributing to policy development.
Develop and maintain retention schedules and related processes in collaboration with stakeholders.
Lead innovation and continuous improvement initiatives in records management, monitoring key performance indicators (KPIs).
Mentor apprentices, interns, and colleagues in records management practices.
Deliver training and guidance to users and contribute to outreach and service activities.
Required Qualifications:
A Master's degree or equivalent relevant experience in Records Management, Archival Science, Library & Information Science, or a related field.
Proven qualification or formal training in records management, obtained as part of the degree program or as a separate recognized qualification.
In-depth knowledge and use of records management principles, standards, and lifecycle processes.
Familiarity with relevant tools such as OpenRefine, CMS, AtoM, and Invenio is an asset.
Proven experience in advising and engaging stakeholders, with clear communication skills.
Educational Background: Candidates must possess a Master's degree or equivalent in a relevant field such as Records Management, Archival Science, or Library & Information Science. Additional formal training or recognized qualifications in records management are also required, demonstrating a solid foundation in the principles and practices of the field.
Experience: The position requires proven experience in records management within complex digital environments, preferably in large organizations or institutions. Candidates should have hands-on experience in analyzing, handling, and improving data and metadata quality, as well as familiarity with digital records systems and their integration into broader IT ecosystems.
Languages: Fluency in spoken and written English is mandatory, with a commitment to learn French being highly desirable. This bilingual capability will enhance communication and collaboration within the diverse environment at CERN.
Additional Notes: This position is a limited duration contract for 5 years, with the possibility of extension up to 8 years and eligibility for an indefinite contract tenure. The role requires a commitment of 40 hours per week and offers hybrid working flexibility. The job grade is classified as 6-7, and the reference for this job is OSI-SIS-AL-2026-131-LD.
