Job Overview: The position of Operations Support involves providing assistance to the Operations Officers, specifically in managing funding contracts, monitoring internal tools, and liaising with other departments at the headquarters. The role is crucial for ensuring that the operations team adheres to guidelines and deadlines while producing reliable deliverables. The Operations Support will work under the guidance of the Operations Officer and the Geographic Director, contributing to the quality control of documents and ensuring compliance with ethical standards. This position is essential for maintaining the operational integrity of HI's projects and ensuring effective communication and collaboration across various teams.
Duties and Responsibilities:
Support Operations Officers in controlling and producing adequate and reliable deliverables, ensuring compliance with donor guidelines and internal deadlines.
Participate in the consolidation of operational, technical, administrative, and financial inputs for project proposals and reports, ensuring quality control of the documents.
Assist in the verification and updating of internal monitoring tools such as P-Square, CRM, and project closure checklists.
Prepare and co-facilitate internal operational briefings, ensuring that key operational staff are well-informed.
Coordinate with National Associations within the HI network regarding project writing and submission according to defined timelines.
Support the evolution of STRATOp processes for various regions, including Ukraine, Afghanistan, and Pakistan.
Ensure compliance with internal funding rules and controls, including thresholds and signatories.
Required Qualifications: Candidates must have a minimum of 1 year of experience in humanitarian project management, preferably at an international level. They should possess a strong understanding of project engineering and the project cycle, including financial and budgetary planning, organization, implementation, and reporting. Experience working in multicultural and multidisciplinary teams across various sectors is essential. Familiarity with donor mechanisms and institutional funding actors in humanitarian aid is also required.
Educational Background: A relevant educational background in humanitarian studies, project management, or a related field is preferred. Candidates should have formal training or qualifications that demonstrate their ability to manage projects effectively in a humanitarian context.
Experience: The ideal candidate should have at least one year of experience in managing humanitarian projects, ideally within a headquarters setting and with international exposure. This experience should include working with diverse teams and understanding the complexities of humanitarian operations.
Languages: Fluency in French and English is mandatory, with proficiency in reading, writing, and speaking required for effective communication within the organization and with external stakeholders. Additional language skills may be considered an asset.
