Job Overview:
The Event and Programme Support Consultant will play a crucial role in supporting the Regional Communications and Advocacy Unit of UN Women’s Regional Office for Asia and the Pacific (ROAP). This position involves providing comprehensive administrative and logistical support for regional events, meetings, missions, and advocacy initiatives. The consultant will be responsible for coordinating travel arrangements, managing documentation, and ensuring effective communication and collaboration among team members and external partners. The role requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently. The consultant will also contribute to the organization of training sessions and knowledge-sharing initiatives, ensuring that best practices in administration are compiled and disseminated effectively. This position is vital for enhancing the visibility and impact of UN Women’s work in promoting gender equality and women's empowerment in the region.

Duties and Responsibilities:
  • Provide administrative support for documentation management, including storing, managing, and tracking documents in a SharePoint database, ensuring compliance with records management procedures.
  • Facilitate travel arrangements for staff and visitors, including booking transportation and accommodations, and managing daily subsistence allowances.
  • Coordinate asset management and procurement processes, including preparing inventory reports, inspecting incoming assets, and processing purchase orders.
  • Organize meetings and panels for the Regional Office, including preparing materials, arranging logistics, and documenting meeting outcomes.
  • Support financial services by preparing budget-related documents and estimates.
  • Assist in knowledge building by organizing training sessions and compiling lessons learned in administration.

Required Qualifications:
Candidates must be Thai nationals and possess a minimum of secondary education. A Bachelor’s degree in Business Management, Public Administration, Budget and Finance, Human Resources, Law, Political and Social Science, International Relations, or a related field is preferred. Candidates should demonstrate strong administrative skills and the ability to execute processes and transactions effectively. Knowledge of program and project management is essential, along with proficiency in creating and presenting information clearly. Strong financial and budgeting skills are also required, as well as proficiency in IT and data management.

Educational Background:
Completion of secondary education is required, with a Bachelor’s degree in a relevant field being an asset. This educational background will provide the necessary foundation for understanding the complexities of administrative support within an international organization.

Experience:
Candidates should have at least 5 years of relevant experience in administrative or program/project support roles within international or national organizations. Experience in supplier identification, logistical organization, and financial documentation is advantageous. Candidates should also have a proven track record in producing high-quality documentation and managing project-related records. Familiarity with UN agencies or international organizations is a plus, as is experience with ERP systems such as Atlas or Quantum.

Languages:
Proficiency in English is mandatory for this position. Additional language skills may be beneficial but are not explicitly required.

Additional Notes:
The assignment duration is from July 1, 2026, to June 30, 2029, with a maximum of 720 days of engagement. The consultant will work under a retainer contract, allowing for flexible engagement based on needs and availability. Although the consultancy is home-based, travel to the UN Women ROAP office in Bangkok will be necessary for regular meetings. Payment will be made on a daily rate basis upon submission of deliverables and approval by the supervisor.
