Job Overview: The Operations Analyst position at IFC India is crucial for ensuring the efficient functioning of the India Country Office located in New Delhi. The selected candidate will be responsible for overseeing various operational aspects, including office administration, mission support, vendor and facility management, and protocol coordination. This role requires a highly organized individual with strong coordination and stakeholder management skills, capable of multitasking in a dynamic and multicultural environment. The Operations Analyst will work closely with various units within the organization, including the Country Management Unit (CMU) and Resource Management (RM), to provide high-quality support services and ensure smooth office operations. The position is designed for someone who can effectively manage office logistics, support senior management missions, and coordinate with external service providers to maintain operational excellence.
Duties and Responsibilities:
Office Administration, Facilities, and Vendor Management: Oversee the daily administration and smooth functioning of IFC India offices in Delhi and Mumbai. Manage office procurement, contract administration, and timely processing of payments and reimbursements. Supervise outsourced staff and service providers, including housekeeping, security" style="border-bottom: 1px dotted #007bff !important;">security, drivers, and administrative support teams. Ensure effective coordination across both offices and manage office logistics, workspace planning, seating arrangements, and conference room management. Oversee onboarding of new staff and maintain relationships with vendors and contractors to ensure high-quality service delivery.
Senior Management Mission, Travel, and Protocol Coordination: Oversee logistics and protocol arrangements for senior management missions and high-level delegations. Coordinate with the travel desk to ensure compliance with travel policies and manage airport protocol, hotel bookings, and transportation logistics. Liaise with government agencies on visa and travel-related matters.
Events, Staff Engagement, and Safety Coordination: Coordinate logistics for conferences, workshops, and office events. Support safety and security initiatives and foster a collaborative workplace environment.
Required Qualifications: The ideal candidate should possess a degree in Business Administration, Management, Hospitality, Public Administration, International Relations, or a related field. A minimum of 6–8 years of relevant professional experience in office administration, operations management, protocol coordination, travel management, or executive support is required. Strong experience in managing high-profile visits and vendor management is essential. The candidate should demonstrate excellent organizational, interpersonal, and communication skills, with a strong client orientation and the ability to work effectively in multicultural teams. Proficiency in Microsoft Office applications and familiarity with SAP or other enterprise systems is desirable.
