Job Overview: The Integrity Assistant position is situated within the Prevention and Compliance Division of the Office of Anticorruption and Integrity at ADB. This role is crucial for supporting the administrative and operational functions of the division. The Integrity Assistant will be responsible for a variety of secretarial tasks, including managing communications, data management, and operational support. The position requires a proactive individual who can efficiently handle administrative activities, coordinate meetings, and maintain the management information system for the team. The role also involves drafting minutes for meetings, managing correspondence, and ensuring that all administrative requirements are met in a timely manner. The Integrity Assistant will report directly to the Director of the Prevention and Compliance Division and will play a vital role in ensuring the smooth operation of the division's activities.
Duties and Responsibilities: The duties and responsibilities of the Integrity Assistant include:
Responding to routine communications on behalf of the AIPD and managing all incoming and outgoing correspondence.
Providing reception services, screening calls, and taking accurate messages.
Handling queries from visitors and determining the priority of their needs.
Maintaining the management information system for the team and producing routine and ad hoc reports.
Drafting and circulating minutes of meetings.
Managing administrative requirements for recruiting consultants, processing work orders, and administering contracts.
Arranging appointments, meetings, and travel for supervisors.
Acting as the focal point for due diligence on staff leaving ADB.
Coordinating attendance monitoring and work-from-home arrangements. 1
Maintaining office supplies and managing eProcurement Purchase Requisitions. 1
Reviewing reports for internal consistency and ensuring compliance with ADB standards. 1
Serving as an alternate for other Integrity Assistants during their absence and performing additional tasks as needed.
Required Qualifications: Candidates must possess a Bachelor's degree in finance, business administration, public administration, or a related field, combined with relevant professional experience. A minimum of 5 years of relevant experience is required. Proficiency in written and verbal English is mandatory, along with knowledge of ADB standard software programs and information technologies. Candidates should have experience working with individuals from diverse cultural and national backgrounds, demonstrating the ability to navigate competing demands efficiently and promote productive workplace relationships.
Educational Background: The educational background required for this position includes a Bachelor's degree in finance, business administration, public administration, or other relevant fields. Additional Notes: This appointment is a fixed-term position with the option to renew, initially for a period of up to 3 years or until the Normal Retirement Date (NRD), whichever comes first. After the initial period, ADB may choose to renew the appointment based on various factors, including the staff's performance and the organization's needs. The position is not convertible to a regular appointment.
