Job Overview: The Programme Assistant (G5) position is integral to the Programme Section of UNICEF's Cuba Country Office. The role involves providing a broad range of administrative, operational, and procedural support to facilitate the implementation, monitoring, and delivery of program results. The incumbent will ensure timely execution of tasks aligned with UNICEF's rules and regulations, and may work within sector-specific teams or crosscutting initiatives depending on program priorities. This position requires a proactive approach to support program planning and operations, ensuring seamless coordination between technical teams, operations units, and external partners.
Duties and Responsibilities:
Programme & Project Support: Assist in the preparation, implementation, and monitoring of annual work plans (AWPs), ensuring alignment with organizational priorities. Carry out transactions in SAP, monitor project implementation, track expenditures, and process amendments as necessary. Draft inputs for program reports and performance indicators using digital tools.
Administrative & Financial Support: Facilitate processing of contracts, manage office calendars, coordinate team meetings, and maintain updated tracking systems for staff leave and events. Prepare documentation for financial monitoring and assist in processing invoices and payment requests.
Operations and Travel Support: Provide travel support for team members, coordinate procurement of supplies, and maintain updated inventories.
Administrative and Logistics Support: Provide logistical support for training sessions and workshops, including vendor coordination and communication for participant confirmation.
Knowledge Management & Communication: Maintain organized document repositories, support onboarding of new staff, and draft internal communications.
Digital Dexterity: Utilize AI and data visualization tools for information synthesis and maintain digital archives.
Emergency Support: Provide accelerated administrative support during emergencies and ensure business continuity.
Required Qualifications: Minimum requirements include a bachelor's degree (nivel superior universitario) and at least 2 years of relevant work experience in administrative or clerical roles. Skills in project management, collaboration, problem-solving, and digital dexterity are essential. The candidate should be able to use project management tools, communicate effectively, analyze information, and manage digital documents in alignment with organizational policies.
Educational Background: A bachelor's degree is required for this position, which should be in a relevant field that supports the administrative and operational functions of the role.
Experience: Candidates should have a minimum of 2 years of relevant work experience in administrative or clerical work, demonstrating the ability to manage tasks effectively and support program operations.
Languages: Fluency in English is required, with proficiency in additional languages considered an asset.
