Job Overview: The Supply & Logistic Assistant plays a crucial role in ensuring the uninterrupted supply of affordable and quality supplies and services in compliance with UNICEF's policies and standards. This position directly impacts the quality and timeliness of service delivery, which reflects on the overall reputation of the supply team. The assistant will work under the supervision of the Supply and Logistics Associate, contributing to the formulation of supply plans, conducting market research, and supporting procurement strategies. The role requires collaboration with various program sections to ensure effective logistics and supply chain management, ultimately supporting UNICEF's mission to serve children and communities effectively.
Duties and Responsibilities:
Supply Chain Service Delivery and Response: Assist in the formulation of the annual Supply Plan, conduct data analysis for category management, and support market research for procurement strategies. Prepare documentation for Long Term Arrangements (LTAs) and process procurement requisitions. Monitor procurement processes and liaise with suppliers to ensure timely delivery.
In-country Logistics: Provide input on logistics components, track demurrages, negotiate charges, and monitor customs clearance.
Alternative Delivery Mechanisms: Ensure data availability related to procurement and support collaboration with partners for effective logistics arrangements.
Other Duties: Contribute to knowledge exchange and training of newcomers, ensuring effective workflows and capacity building within the team.
Required Qualifications: Completion of middle-level education is required, preferably supplemented by technical or university courses related to supply chain management, business administration, or contract law. A thorough understanding of supply chain processes and public sector procurement regulations is essential. Proficiency in MS Office applications and the ability to learn UNICEF office tools are also required. Strong interpersonal skills and the ability to draft clear reports are necessary for effective communication and collaboration.
Educational Background: Candidates must have completed middle-level education (Cuba nivel preuniversitario/ técnico medio) and preferably have additional technical or university courses related to supply chain management or relevant fields. This educational background is crucial for understanding the complexities of supply chain operations and logistics management.
Experience: At least 5 years of relevant administrative experience in supply chain management or a commercial context is required. Experience in development and humanitarian work is advantageous, as it provides context for the role's responsibilities and the challenges faced in supply chain operations in such environments.
Languages: Fluency in English is required, with a proficient command necessary for effective communication within the organization and with external stakeholders. Additional language skills may be beneficial but are not mandatory.
