Job Overview:
The Administrative Officer plays a crucial role in ensuring the smooth administration of expatriate staff within the organization. This position involves a variety of general administrative tasks, including managing residency and work permit processes, coordinating with government authorities, and providing logistical support to the office. The officer will also be responsible for secretarial support to Bankers, Managers, or Directors, ensuring that all administrative functions are executed efficiently and in compliance with internal procedures and local regulations. The role requires a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously while maintaining high standards of accuracy and attention to detail.

Duties and Responsibilities:
The Administrative Officer will manage the end-to-end processes for residency, work permits, national IDs, and visas for expatriate staff and their dependents, ensuring compliance with local regulations. Responsibilities include coordinating customs clearance for shipments, managing telecommunication requirements, maintaining accurate records of expatriate documentation, overseeing drivers' schedules, and handling internal and external correspondence. The officer will also assist with translations, liaise with communications teams, and function as the Records Management Coordinator. Additional duties include data manipulation and report generation, coordinating facilities for meetings, preparing presentations, managing travel arrangements, and maintaining the contact database for the office.

Required Qualifications:
Candidates must possess a Bachelor’s degree in business administration, public administration, international relations, or a related field. Extensive experience in expatriate administration, official liaison, logistics, or administrative support roles is essential. A recognized secretarial or business qualification is advantageous but not mandatory. Candidates should demonstrate fluency in English with excellent written and oral communication skills, and knowledge of another language is beneficial. Familiarity with local office language is essential for effective communication.

Educational Background:
A Bachelor’s degree in a relevant field such as business administration, public administration, or international relations is required. This educational background provides the necessary foundation for understanding the complexities of expatriate administration and the operational requirements of the role.

Experience:
Candidates should have significant administrative and secretarial experience, with a proven track record in expatriate administration or similar roles. The ability to manage multiple assignments and work efficiently under pressure is crucial. Experience in a multicultural environment and the ability to build effective working relationships with clients and colleagues at all levels are also important.

Languages:
Fluency in English is mandatory, with excellent written and oral communication skills. Knowledge of another language, both written and spoken, is considered advantageous. Proficiency in the local office language is essential for effective communication and coordination with local authorities and stakeholders.

This position is a short-term contract lasting 12 months. The role is based in Cairo, Egypt, and requires the officer to work in the office for at least 50% of their working time.
