Job Overview: The Assistant in the Climate Strategy and Delivery (CSD) team plays a crucial role in providing administrative and secretarial support to senior managers. This position is essential for ensuring the smooth operation of the managers' business activities, which includes extensive travel planning, managing expenses, and overseeing diary management for high-level internal meetings. The Assistant will interact with various stakeholders across the EBRD, including Managing Directors and external clients, making effective communication and organizational skills vital for success in this role. The position requires a proactive approach to managing tasks and responsibilities, ensuring that all administrative functions are executed efficiently and effectively.
Duties and Responsibilities: The Assistant will be responsible for a wide range of administrative and secretarial duties, including but not limited to: managing and coordinating travel arrangements for the entire CSD Group, ensuring compliance with EBRD policies; handling all secretarial tasks for the CSD Group, including diary management, meeting arrangements, and visitor reception; drafting and proofreading correspondence; maintaining comprehensive filing systems for easy document retrieval; supporting the CSD Budget Officer with budgetary functions; organizing travel and logistical arrangements for the EBRD Delegation at the annual Climate Change Conference (COP); coordinating internal team-building events; and providing secretarial cover during absences, ensuring seamless transitions and continuity of operations.
Required Qualifications: Candidates must possess strong organizational skills, a proactive and flexible attitude, and the ability to work effectively as part of a team. Essential qualifications include a proven track record of relevant business experience, secretarial and administrative experience, and familiarity with SAP for budgetary tasks. Candidates should demonstrate good communication skills, attention to detail, and the ability to handle confidential information discreetly. A good level of numeracy is also beneficial, along with the ability to cope well under pressure and build effective working relationships in a multicultural environment.
Educational Background: A high school education is required, and while a recognized secretarial qualification is advantageous, it is not mandatory. Candidates must be fluent in English, with excellent written and oral communication skills. Knowledge of an additional language such as Russian, German, French, or Arabic is considered a valuable asset.
Experience: The position requires candidates to have relevant experience in administrative and secretarial roles, with a strong emphasis on teamwork and collaboration. A proven ability to manage multiple tasks and projects simultaneously, along with a self-motivated approach to prioritizing work, is essential. Experience with SAP and familiarity with the EBRD's procedures would be beneficial.
Languages: Fluency in English is mandatory, with excellent written and oral communication skills. Knowledge of another language, such as Russian, German, French, or Arabic, is considered advantageous but not essential.
Additional Notes: This position is a short-term contract lasting 23 months. The EBRD promotes a flexible working environment, expecting employees to attend the office 50% of their working time.
