Job Overview: The Business Support Associate G6 in Management Services at WFP is responsible for providing specialized support and coordinating the delivery of high-quality services across the Management Services portfolio. This role is crucial for ensuring operational efficiency, compliance, and continuous improvement within the organization. The incumbent will work closely with the Finance and Administration Officer and will be involved in various functions including premises management, fleet operations, asset management, customs services, and supplier coordination. The position requires a proactive approach, sound judgment, and the ability to work both independently and collaboratively across different functions. The role is vital in supporting WFP's mission in Guinea-Bissau, a country facing significant development challenges, including food insecurity and malnutrition, particularly among vulnerable groups. Duties and Responsibilities:
Premises Management: Oversee daily operations and maintenance of the WFP-rented facility in Bissau, coordinate tenancy agreements, space allocation, and service provision, liaise with hosted agencies and service providers to resolve operational issues, and monitor service contracts and maintenance schedules.
Fleet Management: Manage WFP’s vehicle fleet, including scheduling, maintenance, fuel consumption, and driver supervision, ensuring compliance with fleet policies and accurate vehicle usage logs.
Asset Management: Maintain inventory of WFP assets, ensuring tagging, tracking, and disposal, conduct regular physical verification, and support asset-related transactions and reporting.
Customs Services: Coordinate customs clearance for WFP shipments and liaise with customs authorities and logistics partners.
Fuel and Consumables Management: Monitor fuel stock levels and manage inventory of office and operational consumables.
Supplier and Service Provider Management: Support selection, onboarding, and performance monitoring of suppliers, process payments, and maintain records of contracts and service agreements.
General Administrative and Technical Support: Coordinate administrative and technical support, monitor resource needs, assist in identifying new requirements, collate and analyze data for reports, and participate in inter-agency initiatives under UN Reform.
Provide advice and support to junior staff and deliver training on Management Services policies and systems.
Contribute to emergency preparedness and response, acting as travel focal point alternate, and perform any other tasks as required.
Required Qualifications: The position requires at least 5–7 years of progressively responsible experience in administration, logistics, or facilities management, ideally within the UN system or similar international organizations. Candidates should possess strong organizational and coordination skills, proficiency in MS Office and ERP systems (e.g., WINGS/SAP), and the ability to manage multiple priorities effectively. Excellent interpersonal and communication skills are essential for this role, as well as the ability to work independently and collaboratively.
Educational Background: Candidates must have a post-secondary certificate in a related functional area, with additional years of work experience. A first university degree in administration, business administration, logistics, or a related field is required, while a master's degree in the same fields is considered an advantage.
Experience: The ideal candidate should have a minimum of 5–7 years of relevant experience in administration, logistics, or facilities management. Experience within the UN system or similar international organizations is highly desirable, as it provides familiarity with the operational context and challenges faced in humanitarian work.
Languages: Fluency in Portuguese is mandatory, along with proficiency in either English or French (Level C). Knowledge of additional languages may be considered an asset, enhancing communication within the diverse environment of WFP.
