Job Overview:
The Executive Associate (G-6) plays a crucial role in providing comprehensive executive, administrative, and operational support to the Head of Office at UNICEF. This position is designed for individuals who excel in organization and communication, capable of managing high-volume correspondence and scheduling in a fast-paced environment. The Executive Associate will be responsible for ensuring smooth day-to-day operations, which includes managing communications, coordinating travel logistics, and assisting with budget monitoring and procurement processes. This role is pivotal in representing the supervisor and ensuring that administrative actions are initiated and followed up on, thereby maintaining the efficiency of the office.

Duties and Responsibilities:
The Executive Associate will manage incoming and outgoing correspondence, emails, and calls, drafting routine responses and coordinating sensitive inquiries. They will maintain the supervisor’s calendar, arrange meetings, prepare briefing materials, and organize official travel. The role also includes providing operational and office support, such as managing event and conference logistics, monitoring leave and absences, and overseeing office supplies and equipment inventory. Additionally, the Executive Associate will support budget and grant monitoring, maintain control records, and process relevant transactions in VISION. They will assist in procurement and contracting processes, maintain vendor and partner rosters, and ensure that all documentation aligns with UNICEF policies.

Required Qualifications:
Candidates must possess a minimum of secondary education in relevant fields such as Communications, Operations, Secretarial Services, Arts/Humanities, Business, or Languages. A Bachelor’s degree from a recognized institution in a relevant field can substitute for three years of related work experience, while a Master’s degree can replace an additional two years. At least six years of relevant work experience in Administration, Communications Support, Administrative Support, Operations Support, Budget Monitoring, and Procurement Support is required. Candidates should also demonstrate skills in collaboration, problem-solving, project management, digital dexterity, and planning, with proficiency in Microsoft Office.

Educational Background:
The educational background required for this position includes secondary education in relevant fields, with a preference for candidates holding a Bachelor’s or Master’s degree in areas related to the job functions. Technical courses or university courses in relevant disciplines are also acceptable.

Experience:
The position requires at least six years of relevant work experience, particularly in administrative roles that involve communications support, operations support, budget monitoring, and procurement. Experience in development, fragile settings, and humanitarian contexts is highly desirable, as it aligns with UNICEF's mission and operational environment.

Languages:
Proficiency in Chinese and English is mandatory, with candidates expected to demonstrate fluency in both languages. Knowledge of another official UN language (Arabic, French, Russian, or Spanish) or a local language is considered an asset, enhancing the candidate's ability to communicate effectively in diverse environments.
