Job Overview:
The Head of the Conference Services Section plays a crucial role in the IAEA's mission by planning, coordinating, and supervising all conference and event management services required by the Agency. This position is responsible for ensuring that all IAEA conferences and meetings are organized efficiently and effectively, thereby facilitating the exchange and dissemination of information relevant to the IAEA's work. The Section Head will report directly to the Director of the Division of Conference and Document Services and will be expected to provide managerial support to the conference services team, ensuring that resources are allocated effectively to meet the objectives of the division. The role also involves advising the Director on matters related to conference services and acting as a focal point for meeting organizers and stakeholders.

Duties and Responsibilities:
  • Plan, lead, and monitor the work of the Conference Services Section, ensuring quality and efficiency improvements while maintaining adequate human and technical resources.
  • Provide strategic advice to the Director on all matters related to the Section's activities.
  • Stay updated on best practices and technological advancements in conference services.
  • Offer administrative and organizational guidance for high-level meetings, including the General Conference and Board of Governors meetings.
  • Coordinate administrative arrangements for IAEA co-sponsorship and cooperation meetings with international organizations.
  • Advise on meeting scheduling to achieve a balanced annual meeting plan.
  • Oversee the use of internal and external meeting facilities and services, including interpretation services.
  • Ensure compliance with applicable procedures and policies for all IAEA meetings, providing timely information to participants.

Required Qualifications:
  • A Master's Degree or an advanced university degree in management, marketing, public administration, international relations, or a related field.
  • At least seven years of professional experience in conference management, with some experience in an international organization being desirable.
  • A thorough understanding of the organization and management of large conferences in an international context.
  • Strong communication skills, both oral and written, with an excellent command of English.
  • Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian, and Spanish) is considered an asset.

Educational Background:
Candidates must possess a Master's Degree or an advanced university degree in a relevant field such as management, marketing, public administration, or international relations. This educational background is essential for understanding the complexities of conference management and the operational needs of the IAEA.

Experience:
Candidates should have a minimum of seven years of professional experience in conference management. Experience working with international organizations is highly desirable, as it provides insight into the unique challenges and requirements of managing conferences on a global scale. The candidate should also have a thorough understanding of the organization and management of large conferences, which is critical for the successful execution of the IAEA's events.

Languages:
The mandatory language for this position is English, with an excellent oral and written command required. Knowledge of other official IAEA languages, including Arabic, Chinese, French, Russian, and Spanish, is considered advantageous and may enhance the candidate's suitability for the role.

Additional Notes:
The IAEA offers an attractive remuneration package, including a tax-free annual net base salary starting at US $86,027, subject to mandatory deductions for pension contributions and health insurance. Additionally, a variable post adjustment currently amounts to US $44,820, along with dependency benefits, rental subsidy, education grant, and relocation and repatriation expenses. Employees are entitled to six weeks of annual leave, home leave travel, a pension plan, and health insurance. The appointment is subject to a satisfactory medical report, and staff members may be assigned to any location. Candidates appointed to posts in the Professional and higher categories are subject to IAEA rotation policy, with a maximum tour of service typically lasting seven years.
