Job Overview: The Finance and Operations Coordinator plays a crucial role in the IRC’s Resettlement, Asylum, and Integration (RAI) department, specifically within the Resource Acquisition and Management (RAM) team. This position is responsible for managing financial and procurement processes, ensuring compliance with organizational guidelines, and supporting the overall operational efficiency of the department. The coordinator will work closely with various teams to facilitate the smooth execution of financial transactions, manage logistics for meetings and events, and maintain effective communication with contractors and vendors. The role requires a proactive approach to problem-solving and a strong ability to manage multiple tasks simultaneously, ensuring that all operational aspects align with the IRC’s mission to support displaced individuals.
Duties and Responsibilities:
Finance & Procurement: Manage purchase-card and project expenses using Emburse, track and reconcile monthly procurement and travel card activities, and oversee procurement and purchase order requests. Collaborate with finance teams to obtain necessary internal budget spending codes for each award and manage the monthly process of time and effort (T&E) reports. Update and maintain standard operating procedures to ensure compliance with organizational guidelines.
Operations & Logistics: Coordinate logistics for meetings and events, manage office supplies, maintain equipment inventory, and secure non-profit pricing for software and services. Prepare consultant and vendor agreements, support the processing of consultant payments, and assist with onboarding and offboarding of RAM Volunteers & Interns.
Knowledge Management: Manage electronic project files and organize documentation in cloud platforms, ensuring accessibility for streamlined information retrieval. Maintain and disseminate information regarding shared software accounts and develop shared team systems for collaboration.
Communication and Outreach Support: Maintain strong relationships with contractors and vendors, support website maintenance, and ensure high-quality content for RescueNet.
Meeting Support: Plan, schedule, and facilitate staff meetings and conference calls, managing logistics and follow-up, and train new staff on IRC platforms and procedures.
Other Administrative Duties: Liaise with administrative staff from other HQ departments and perform additional administrative duties as assigned, demonstrating flexibility and adaptability.
Required Qualifications: The ideal candidate should possess a Bachelor’s degree or relevant experience in a related field. A minimum of 2-4 years of progressive work experience is required, along with excellent written and oral communication skills. Strong organizational and time management skills are essential, as well as problem-solving and critical thinking abilities. Proficiency in Windows, Microsoft Suite, Google Docs, Teams, and Zoom is necessary, and familiarity with IRC's Integra system (Microsoft Dynamics 365) and finance processes is a plus. Familiarity with intranet platforms is also advantageous.
Educational Background: Candidates should have a Bachelor’s degree in a relevant field or equivalent experience that demonstrates the necessary skills and knowledge for the position. Relevant coursework or training in finance, operations management, or a related discipline is preferred.
Experience: The position requires 2-4 years of progressive work experience in finance, operations, or administrative roles. Candidates should have a proven track record of managing financial processes, coordinating logistics, and supporting operational functions within an organization. Experience working in a non-profit or humanitarian context is highly desirable, as it aligns with the IRC's mission and values.
Languages: Proficiency in English is mandatory, with excellent written and verbal communication skills. Additional language skills may be beneficial, particularly in languages commonly spoken by the populations served by the IRC, such as Spanish, Arabic, or French, enhancing the ability to communicate effectively with diverse clients and stakeholders.
Additional Notes: This position is full-time and based in the United States. The compensation range for this role is between $66,700 and $76,500, depending on various factors such as labor market conditions, job type, and individual candidate experience.
