Duties and Responsibilities:
Monitor budgets and financial expenditures, ensuring compliance with UNICEF rules and regulations.
Provide support on budget revision and preparation, and maintain records for budget monitoring of project implementation.
Ensure timely and accurate updating of newly procured assets in the master database and VISION system.
Conduct quarterly updates on asset movements and oversee the receipt of goods into the warehouse.
Serve as the alternate secretary of the Property Survey Board (PSB) Committee, coordinating meetings and organizing the classification of obsolete assets.
Lead the annual asset verification exercise, maintaining accurate records and preparing reports on findings.
Support management of administrative supplies and office equipment, ensuring compliance with organizational standards.
Facilitate communication and workflow within the organizational unit to enhance operational efficiency.
Make logistical arrangements for capacity development activities and conferences. 1
Process invoices and maintain attendance records for staff.
Required Qualifications: Completion of secondary education is required, with any certification in administration being desirable. A bachelor's degree in social sciences, business management, administration, finance, or a relevant field is preferred. A master's degree may replace additional years of experience. Candidates should have at least 6 years of progressively responsible experience in asset management, inventory control, administrative support, and data management.
Educational Background: Candidates must have completed secondary education, with a preference for those holding a bachelor's degree in relevant fields such as social sciences, business management, or finance. Additional certifications in administration are desirable, and a master's degree may substitute for some years of required experience.
Experience: At least 6 years of relevant experience is required, particularly in asset management, inventory control, and administrative support within multi-location operations. Experience in data entry, record-keeping, and compliance with internal controls is essential. Familiarity with fleet or facilities management is considered an advantage.
Languages: Fluency in English and Arabic is mandatory. Knowledge of another official UN language (Chinese, French, Russian, or Spanish) or a local language is considered an asset.
