Job Overview: The Assistant Administrative and Logistics Specialist will play a crucial role in supporting the Emergency Centre for Transboundary Animal Diseases (ECTAD) within FAO. This position is focused on providing comprehensive administrative, logistical, and operational support to ensure the effective implementation of the ECTAD Programme in Bangladesh. The specialist will be responsible for managing day-to-day operations, coordinating with various stakeholders, and ensuring compliance with operational policies and procedures. The role requires a proactive approach to office management, vendor coordination, and logistical readiness, which are essential for the successful delivery of the programme's objectives. The specialist will work closely with the ECTAD Programme team and FAO Country Office units, ensuring that all administrative and logistical needs are met efficiently and effectively.
Duties and Responsibilities: The incumbent will undertake a variety of duties, including but not limited to: managing the day-to-day administrative operations of the ECTAD Programme Unit, serving as the primary liaison with government counterparts and service providers, providing recommendations on operational policies and procedures, overseeing office supplies and equipment management, controlling warehouse goods movement and inventory systems, supporting import procedures and customs clearance, coordinating IT-related issues, drafting correspondence and reports, assisting with onboarding new staff, coordinating vehicle rentals and logistical support for field activities, ensuring vehicle maintenance and compliance, monitoring fuel usage and maintaining records, supervising office messengers and drivers, managing office assets and their upkeep, ensuring premises security, managing petty cash, and performing any other relevant duties as assigned.
Required Qualifications: Candidates must possess an advanced university degree in business administration, accounting, public management, or a discipline relevant to FAO’s mandate. Additionally, a minimum of seven years of related professional experience in field programme administration, logistics, and management is required. A working knowledge of English is essential, and candidates must be nationals of Bangladesh. The role also requires proven experience in an office management or similar administrative and logistics role, strong organizational and multitasking skills, excellent communication abilities, and proficiency in office software such as MS Office and Google Workspace.
Educational Background: The educational background required for this position includes an advanced university degree in fields such as business administration, accounting, public management, or other relevant disciplines that align with the mission and objectives of FAO. Candidates must ensure that their higher educational qualifications are obtained from institutions accredited or recognized in the World Higher Education Database (WHED).
Experience: The position requires at least seven years of professional experience in areas related to field programme administration, logistics, and management. Candidates should demonstrate a strong track record of managing administrative and logistical functions in a fast-paced environment, showcasing their ability to perform under minimal supervision and effectively handle multiple tasks simultaneously.
Languages: A working knowledge of English is mandatory for this position. Proficiency in additional languages may be considered an asset, although not explicitly required.
