Job Overview: The Operations Assistant position is a vital role within the Bangladesh Resident Mission (BRM) of the South Asia Department (SARD) at ADB. The successful candidate will be responsible for providing a comprehensive range of administrative support to designated supervisors. This includes organizing and maintaining records, preparing correspondence and reports, and assisting with the logistics of visiting ADB missions. The Operations Assistant will play a crucial role in ensuring that all administrative functions are executed efficiently and in compliance with ADB's standards. The position requires a proactive approach to managing supervisors' schedules, coordinating meetings with various stakeholders, and preparing essential documents for senior management. The Operations Assistant will also be responsible for maintaining filing systems and databases, ensuring that all correspondence upholds ADB's professionalism standards. This role is integral to the smooth operation of the Bangladesh Resident Mission and contributes to ADB's mission of fostering prosperity in Asia.
Duties and Responsibilities: The Operations Assistant will undertake a variety of duties, including but not limited to:
Typing, preparing, and submitting all correspondence and documents for supervisors in a timely manner, ensuring compliance with ADB standards.
Monitoring relevant portfolio and pipeline projects to provide informed assistance to supervisors.
Coordinating supervisors' schedules by maintaining calendars, arranging appointments, meetings, travel, and accommodation as per ADB procedures.
Organizing meetings and appointments with the Government of Bangladesh, executing agencies, donors, and other stakeholders.
Assisting in the preparation of briefing papers, presentation materials for senior management meetings, and organizing seminars, workshops, and press conferences.
Preparing Aide Memoirs, background papers, back-to-office reports (BTORs), and other reports as required.
Editing and formatting completion and consultant reports in accordance with ADB guidelines.
Maintaining and updating office filing systems and records for easy retrieval.
Monitoring incoming and outgoing documents, reports, and emails for action or reassignment. 1
Relieving other Operations Assistants as necessary to ensure continuity of service.
Required Qualifications: Candidates must possess a Bachelor's degree or an equivalent professional and/or academic qualification. Additionally, a minimum of 5 years of relevant professional experience is required, preferably within an international organization. Candidates should have a sound knowledge of commonly used application software, including Microsoft Copilot, and be proficient in word processing, spreadsheets, graphics, presentation applications, and search engines. Familiarity with processing and project administration activities is essential. Excellent written and verbal communication skills in English are mandatory, as effective communication is crucial for this role. Candidates should also refer to the ADB Competency Framework for TL1 to understand the competencies required for this position.
Educational Background: The educational background required for the Operations Assistant position includes a Bachelor's degree or an equivalent professional and/or academic qualification. Experience: The position requires at least 5 years of relevant professional experience. Additional Notes: This appointment is open to both internal and external applicants and is classified as a local staff position, specifically for nationals and permanent residents of Bangladesh. The position is a fixed-term appointment with the option to renew, initially for a period of up to 3 years or until the Normal Retirement Date (NRD), whichever comes first. After the initial fixed-term period, ADB may choose to renew the appointment for an additional 3 years based on various factors, including the staff's performance and the organizational needs. It is important to note that this appointment is not convertible to a regular appointment.
