Job Overview: The Program Assistant role at the São Paulo Office is designed to provide high-quality administrative and operational support. This position is crucial for ensuring the smooth functioning of office operations and requires excellent communication skills, fluency in English, and a strong ability to work in a fast-paced environment with competing priorities. The Program Assistant will be responsible for coordinating events, managing day-to-day administrative activities, and supporting the overall operational effectiveness of the office. The role is integral to maintaining organized records and facilitating communication among internal and external stakeholders, thereby contributing to the overall mission of the World Bank Group.
Duties and Responsibilities:
Administrative & Office Support: Provide daily administrative support to teams, ensuring smooth office operations, coordinating calendars, meetings, and logistical arrangements, preparing and reviewing correspondence and reports, and maintaining organized records in line with institutional standards. Assist with documentation related to visas and other registrations with Brazilian authorities.
Event & Mission Support: Support the planning and execution of office events, workshops, and meetings, coordinating logistics such as venues, vendors, and participant communications, and assisting during events to ensure smooth delivery.
Communication & Coordination: Serve as a point of contact for stakeholders, demonstrating professionalism in all interactions, and effectively communicating with colleagues to foster a collaborative work environment.
Operational Effectiveness: Manage multiple tasks under pressure, proactively identify issues, and support solutions to keep activities on track while continuously improving administrative processes.
Required Qualifications: Candidates must possess a Bachelor’s degree in Business, Economics, or a related field, along with 3–5 years of relevant professional experience in administrative support. They should have demonstrated experience supporting dynamic teams within multinational companies or global organizations. Full proficiency in English and Portuguese is required, along with strong communication and interpersonal skills. Candidates should also demonstrate the ability to work under pressure, manage competing priorities, and possess a strong teamwork mindset with a service-oriented approach. Experience supporting events, meetings, or missions is essential, as well as proficiency in Microsoft Office applications and familiarity with Microsoft 365 AI capabilities.
Educational Background: A Bachelor’s degree in Business, Economics, or a related field is required for this position. This educational background provides the necessary foundation for understanding the administrative and operational functions within a global organization like the IFC.
Experience: The position requires 3–5 years of relevant professional experience in administrative support, particularly within dynamic teams in multinational or global organizations. Candidates should have a proven track record of managing administrative tasks effectively and supporting senior staff or busy teams.
Languages: Fluency in English (spoken and written) and Portuguese is mandatory for this position. Proficiency in additional languages may be considered an asset but is not required.
