Job Overview:
The Logistics Assistant position is a vital role within the Logistics and Security Unit (LSU) of the OSCE's Office for Democratic Institutions and Human Rights (ODIHR). The LSU is responsible for the operational security and day-to-day practical operations of ODIHR's headquarters in Warsaw. The Logistics Assistant will work under the direct supervision of the Logistics and Security Officer, performing a variety of tasks that support the logistical and security needs of the office. This includes transportation and messenger duties, fleet maintenance coordination, liaising with government institutions, and assisting with various administrative tasks. The role requires a proactive approach to ensure that the office runs smoothly and efficiently, contributing to the overall mission of the OSCE in promoting democratic institutions and human rights.

Duties and Responsibilities:
The Logistics Assistant will be responsible for a range of duties, including:
  • Providing general transportation and messenger services, delivering and collecting official correspondence between ODIHR headquarters, embassies, and host government structures.
  • Acting as a back-up driver for the Office Senior Driver during their absence, which includes transporting residents and visiting VIPs.
  • Delivering office equipment to nearby countries for field activities.
  • Providing ad hoc transport support for various office activities as needed.
  • Supporting the fleet maintenance program by coordinating the delivery of official vehicles for repair and inspection, and conducting routine preventive maintenance checks on vehicles.
  • Facilitating access for service providers during outsourced maintenance and repair, ensuring quality of services and compliance with contract terms.
  • Liaising with host government institutions to register official and personal vehicles, assisting international staff with local driving licenses.
  • Coordinating with local law enforcement regarding minor parking or traffic infractions.
  • Assisting with various menial tasks in the office, such as low-value shopping, supporting internal meetings, and performing minor repairs of equipment and furniture.

Required Qualifications:
Candidates must possess completed secondary education and a minimum of three years of general work experience. Competent computer skills, including proficiency in standard MS Office suite tools (Outlook, Word, Excel), are essential. A valid category 'B' driving license is required, with higher-level qualifications considered a plus. Experience working with government institutions, particularly with the City Guards and Capitol Police, is advantageous. Candidates should also have working-level oral and written communication skills in English and a native professional-level command of Polish.

Educational Background:
The position requires a minimum of a high school diploma or equivalent (GED). Candidates with further education or specialized training related to logistics, security, or administration may have an advantage in the selection process.

Experience:
The ideal candidate should have at least three years of general work experience, preferably in a logistics or administrative role. Experience in transportation, fleet management, or working with governmental institutions will be beneficial. Familiarity with electronic access control systems is also a plus, as it relates to the security aspects of the position.

Languages:
Proficiency in both English and Polish is mandatory for this role. Candidates must demonstrate strong oral and written communication skills in both languages. Knowledge of additional languages may be considered an asset but is not required.

Additional Notes:
This position is a full-time contracted role at the General Services level (G3) within the OSCE. The monthly remuneration is approximately PLN 6390, subject to social security deductions, and OSCE salaries are exempt from taxation in Poland. The organization provides participation in the Cigna medical insurance scheme and contributes to a pension-style fund. Appointments are typically made at step 1 of the salary scale, with the possibility of higher initial appointments based on relevant experience.
