Job Overview: The Executive Assistant for the Financial Institutions (FI) Operations and Portfolio team plays a crucial role in ensuring the smooth functioning of the team by providing comprehensive administrative and secretarial support. This position involves managing the calendar and scheduling of the Team Director and Associate Directors, organizing travel arrangements, and coordinating various team events. The Executive Assistant will also be responsible for maintaining accurate records, preparing reports, and assisting with the preparation of presentations and documents. The role requires a proactive approach to managing tasks and a strong ability to prioritize and coordinate workload effectively. The Executive Assistant will engage with team members across different locations, fostering positive relationships and ensuring effective communication within the team.
Duties and Responsibilities: The duties and responsibilities of the Executive Assistant include but are not limited to: conducting all administrative, logistical, and secretarial duties for the Director and team members; managing the Director's calendar and scheduling meetings; arranging travel for team members in accordance with EBRD policy; organizing team events and meetings; managing team expenses; supporting the FI Credit Risk Envelope process; assisting with portfolio tasks and data accuracy; preparing team-related documents such as presentations and reports; attending meetings and taking minutes; coordinating document submissions and ensuring quality control; maintaining training logs and databases; acting as the team IT coordinator; and undertaking ad-hoc administrative tasks as required. The Executive Assistant will also provide cover for the Executive Assistant to the Managing Director and work cooperatively with other team assistants.
Required Qualifications: Candidates must possess relevant experience as an Executive Assistant or in a similar secretarial or business role. A strong command of the English language is essential, with the ability to edit text written by non-native speakers. Knowledge of an additional language such as Russian, French, or Arabic is advantageous but not mandatory. The ideal candidate should demonstrate a positive, proactive attitude and a strong team ethic, with the willingness to work overtime when necessary. Proven experience in a senior secretarial or administrative role within a multi-cultural organization is required, along with excellent organizational and planning skills, the ability to prioritize tasks, and a high degree of initiative and judgment.
Educational Background: A relevant educational background is preferred, typically including a degree or equivalent qualification in business administration or a related field. Candidates should have a strong foundation in administrative practices and procedures, as well as proficiency in using various software applications, particularly Microsoft Office Suite (Word, PowerPoint, Excel) and other relevant systems.
Experience: Candidates should have substantial experience working in an administrative or secretarial capacity, ideally at a senior level within a complex, multi-disciplinary organization. Experience in the banking or financial sector is highly desirable, as is familiarity with institutional procedures and policies. The ability to engage effectively with team members across different locations and build positive relationships is crucial for success in this role.
