Job Overview: The Data and Compliance Coordinator plays a crucial role in supporting program teams by ensuring the integrity of data quality, compliance with grant requirements, and the accuracy of reporting across all programs. This position is a blend of administrative, compliance, and data management responsibilities, aimed at ensuring that the services provided meet the standards set by the organization, funders, and regulatory bodies. The coordinator will work closely with internal teams, external partners, and leadership to facilitate effective program delivery, track outcomes, and promote continuous quality improvement. This is a full-time, non-exempt position requiring 37.5 hours of work per week, and the coordinator will report directly to the director" style="border-bottom: 1px dotted #007bff !important;">Deputy Director of Resettlement Programs.
Duties and Responsibilities: The responsibilities of the Data and Compliance Coordinator include, but are not limited to:
Compliance & Grant Management: - Support the coordination of grant processes including opening, mid-cycle, and closing phases in collaboration with program, finance, and leadership teams. - Ensure compliance with contract, grant, and budgetary requirements. - Maintain organized documentation for each funded program. - Assist with modifications to awards, including extensions and amendments. - Provide guidance to staff regarding donor compliance and organizational policies. - Support compliance activities related to sub-awards and partnerships. - Assist in developing action plans to address compliance findings.
Data Management & Quality Assurance: - Collect, enter, and maintain accurate client and program data in databases and reporting systems. - Develop and implement quality assurance and quality control processes to ensure data accuracy. - Support program staff with the timely entry of demographics, intakes, services, and outcomes. - Generate and analyze reports on program performance for internal leadership and funders. - Track program deliverables and provide updates to senior leadership. - Assist teams in preparing for audits and monitoring activities from donors or regulatory bodies.
Financial & Administrative Support: - Coordinate requests and track expenditures related to direct assistance or client support in compliance with program guidelines. - Monitor client and program budgets to ensure accurate fund utilization. - Collaborate with Finance on financial reporting and tracking expenditures. - Prepare summaries of expense reports and share highlights with program teams.
Collaboration & Capacity Building: - Collaborate with program staff to ensure alignment between service delivery, compliance, and reporting requirements. - Provide training and technical support to staff on compliance, data entry, reporting, and quality standards. - Act as a liaison between program teams, finance, and external partners to streamline processes. - Participate in staff meetings and professional development opportunities.
Other Responsibilities: - Ensure confidentiality and uphold ethical standards in all aspects of work. - Participate in ongoing training to stay current on compliance regulations and best practices. - Perform other duties as assigned to support program effectiveness and organizational goals.
Required Qualifications: The ideal candidate for the Data and Compliance Coordinator position should possess the following qualifications: - A Bachelor’s degree in social sciences, public administration, data management, or a related field is required. - Additional certifications or continuing education in compliance, monitoring & evaluation, or data management are preferred. - Strong attention to detail and the ability to maintain accurate records are essential. - Experience with data management tools such as Microsoft Excel, Power BI, or similar platforms is necessary. - Excellent organizational and time management skills are required, with the ability to meet deadlines. - Strong written and verbal communication skills are crucial. - The candidate should be able to work collaboratively in a multi-cultural, multi-disciplinary environment. - A self-directed and proactive approach is important, along with the ability to prioritize competing responsibilities. - A valid driver’s license and access to an insured vehicle are preferred.
Educational Background: Candidates must have a Bachelor’s degree in social sciences, public administration, data management, or a related field. Additional certifications or continuing education in compliance, monitoring & evaluation, or data management are preferred, indicating a commitment to professional development and expertise in the field.
Experience: The position requires a minimum of 2 years of professional experience in compliance, data management, program evaluation, or administrative support. Experience with grant reporting, monitoring/audits, and quality assurance is strongly preferred, as it demonstrates the candidate's familiarity with the requirements and challenges of the role.
