Job Overview: The Senior Building Services Assistant plays a crucial role in the Building Management Unit, ensuring the efficient delivery of services to internal customers at UNHCR headquarters and field locations. This position involves direct interaction with various stakeholders, including internal customers and third-party service providers. The incumbent is responsible for managing service requests, monitoring compliance with service contracts, and supporting the procurement of maintenance items and services. The role requires a proactive approach to problem-solving and continuous improvement initiatives to enhance service delivery. The Senior Building Services Assistant must uphold UNHCR's core values of professionalism, integrity, and respect for diversity while performing their duties.
Duties and Responsibilities: The Senior Building Services Assistant has a wide range of duties, including but not limited to: acting on assigned service requests and distributing work among third-party service providers; regularly monitoring contracted service providers to ensure compliance with established terms of reference; supporting the supervisor in managing the procurement of maintenance items and services; preparing for events and receptions at headquarters; managing the maintenance and control of official vehicles; handling transportation logistics; supporting warehouse operations, including receiving and cataloging equipment; preparing requisitions and ensuring purchase orders are issued; verifying non-PO invoices for accuracy; and identifying and managing risks related to service delivery. The incumbent is also expected to perform other related duties as required, demonstrating flexibility and adaptability in a dynamic work environment.
Required Qualifications: Candidates must possess a minimum of 2 years of relevant experience with a High School Diploma or 1 year of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include experience in support services related to building maintenance, financial management, logistics, and procurement. Familiarity with ERP systems and experience in supervising and managing staff are also required. Desirable qualifications include knowledge of UN administrative, human resources, and financial rules and procedures, as well as proficiency in Microsoft Office and familiarity with local building management vendors and service providers.
Educational Background: The educational background required for this position includes a High School Diploma as a minimum, with a Bachelor’s degree or higher being advantageous. Candidates must also possess a valid driving license, which is essential for the role.
Experience: The position requires candidates to have at least 2 years of relevant experience in support services, particularly in areas related to building maintenance, financial management, logistics, and procurement. Experience in supervising staff and managing service delivery is also essential, along with familiarity with ERP systems and supply chain management.
Languages: Knowledge of English is mandatory, and candidates should also be familiar with the UN working language of the duty station if it is not English. For General Service jobs, knowledge of English and/or the UN working language is required, while knowledge of the local language is considered an asset.
