Job Overview:
The Program Assistant will play a crucial role in supporting the implementation of the Meeting Targets and Maintaining Epidemic Control (EpiC) project in Nigeria, specifically focusing on Maternal, Newborn, Child, and Adolescent Health (MNCH) initiatives. Under the supervision of the Senior Program Officer, the Program Assistant will be responsible for providing administrative, logistical, and programmatic support to ensure the effective execution of project activities. This includes coordinating meetings, managing documentation, and facilitating communication between internal teams and external partners. The role is vital for maintaining the project's operational efficiency and ensuring that deliverables are met in accordance with organizational policies and donor requirements. The Program Assistant will also assist in monitoring project performance indicators and contribute to the preparation of reports and proposals for stakeholders.

Duties and Responsibilities:
The Program Assistant will have a diverse set of responsibilities, including but not limited to:
  • Supporting the Senior Program Officer in maintaining program monitoring checklists and budget tracking tools to effectively track deliverables and monitor the burn rate of project activities in line with the approved workplan.
  • Assisting with the collation, review, and timely submission of routine progress reports from sub-teams and partners.
  • Maintaining accurate and up-to-date project documentation by organizing files and managing a database of progress reports, meeting minutes, and correspondence.
  • Supporting project implementation and coordination activities, including workplan development, activity scheduling, and tracking of deliverables and resource allocation.
  • Assisting in monitoring dashboards used to track budget pipelines, labor reports, and other project performance indicators.
  • Supporting the preparation of reports, proposals, presentations, and other program-related documentation for internal and external stakeholders.
  • Coordinating meetings, including scheduling, logistics, note-taking, and follow-up communication.
  • Performing other duties as assigned by the Senior Program Officer.

Required Qualifications:
Candidates must possess a Bachelor’s degree (BS/BA) in Public Health, Business Administration, Health Sciences, Behavioral Sciences, or a related field. Additionally, applicants should have at least 3 years of relevant experience supporting projects or programs in an international development, NGO, or donor-funded environment. Familiarity with U.S. Department of State (DOS) funded programs and experience working with NGOs in Nigeria is considered an advantage. Candidates should demonstrate strong organizational and analytical skills, good written and verbal communication skills in English, and the ability to work collaboratively within a diverse team environment.

Educational Background:
The educational requirement for this position is a Bachelor’s degree in a relevant field such as Public Health, Business Administration, Health Sciences, or Behavioral Sciences. This educational background is essential for understanding the complexities of health programs and the administrative tasks associated with project management.

Experience:
The position requires a minimum of 3 years of relevant experience in supporting projects or programs, particularly in an international development context. Experience in a donor-funded environment or with NGOs is highly desirable. Candidates should demonstrate a proven track record of working effectively in multicultural and multidisciplinary settings, showcasing their ability to adapt and thrive in diverse environments.

Languages:
Proficiency in English is mandatory for this position, as effective communication is crucial for collaboration with internal teams and external partners. While English is the primary language required, knowledge of additional languages may be considered an asset, particularly if they are relevant to the local context in Nigeria.

Additional Notes:
This position may require travel up to 25% of the time, depending on project needs. The role is based in Bauchi, Nigeria, and is expected to be a full-time position.
