Job Overview:
The Senior Executive Assistant (SEA) position is designed for a highly capable and proactive individual who will serve as a key operational partner to the Division Director for Brazil and the Southern Cone. This role transcends traditional executive support, requiring the candidate to demonstrate a proven track record in high-level executive support and event leadership. The SEA will be responsible for ensuring the smooth execution of the Director’s priorities while supporting the effective functioning of the front office and broader department. The successful candidate will operate independently in a fast-paced, high-visibility environment, exercising sound judgment and anticipating needs. The SEA will report directly to the Division Director and the Senior Office Administrator, playing a crucial role in the organization’s operations and strategic initiatives.

Duties and Responsibilities:
The duties and responsibilities of the Senior Executive Assistant include providing high-level administrative and organizational support to the Division Director for Brazil and the Southern Cone, ensuring disciplined execution of priorities aligned with IFC strategic objectives. The SEA will serve as a trusted liaison between the Director and senior stakeholders, managing a complex calendar, coordinating travel plans, and overseeing high-level meetings. Additionally, the SEA will maintain an action list to ensure timely execution of decisions, ensure compliance of documents, and lead special departmental projects. In terms of event leadership, the SEA will plan and coordinate high-level events, manage stakeholder communications, oversee logistics, and monitor event-related budgets. The role requires assertiveness in engaging counterparts and ensuring successful execution of high-visibility engagements.

Required Qualifications:
Candidates must possess a Bachelor’s degree in Business, Economics, or a related field, along with at least 5 years of relevant professional experience supporting senior executives in complex organizations. Proven experience in leading high-level events independently is essential, demonstrating ownership and the ability to deliver results without close supervision. Strong project management skills, including stakeholder coordination and budget oversight, are required. Proficiency in Microsoft Office applications and familiarity with emerging technologies relevant to the functional area are also necessary. The candidate must demonstrate initiative, handle sensitive information with discretion, and possess the ability to manage complexity and ambiguity effectively.

Educational Background:
A Bachelor’s degree in Business, Economics, or other relevant subjects is required for this position. This educational background provides the foundational knowledge necessary for understanding the complexities of the role and the operational environment in which the IFC operates.

Experience:
The position requires at least 5 years of relevant professional experience, specifically in supporting senior executives within complex organizations. Candidates should have a proven track record of leading high-level events and managing multiple priorities effectively, showcasing their ability to operate independently and deliver results in a fast-paced environment.

Languages:
Full proficiency in English and Portuguese, both written and spoken, is mandatory for this position. Fluency in Spanish is considered a strong advantage, enhancing the candidate's ability to communicate effectively in the Southern Cone region.
