Job Overview:
The Personal Assistant (PA) plays a crucial role in providing high-level administrative, clerical, and communications support to the Country Representative of UNFPA. This position is essential for maintaining effective communication flows between the Representative and the Country Office staff, as well as with external counterparts. The PA is responsible for managing information flow, ensuring confidentiality, and following up on deadlines and commitments. The role involves facilitating knowledge management, providing logistical support, and coordinating clerical services. The PA will also coordinate the Representative's participation in meetings and events, supporting the Country Office's engagement in various corporate initiatives. This position requires a proactive approach to managing the Representative's calendar, travel arrangements, and documentation preparation, ensuring that all necessary materials are available for official trips and meetings. The PA will also assist in political and environmental scanning, consolidating updates on UN-wide changes, and providing support for corporate initiatives.

Duties and Responsibilities:
The Personal Assistant will be responsible for the following duties:
  • Ensuring optimal communication flows between the Representative and Country Office staff, as well as external counterparts.
  • Responding to requests for information in a timely and discreet manner.
  • Maintaining strong follow-up with the Office of the Resident Coordinator and participating in UN Country Team meetings.
  • Preparing documentation and presentations, including correspondence, briefs, and reports, and researching materials for the Representative's needs.
  • Coordinating logistical, administrative, and financial arrangements for meetings and workshops involving the Representative.
  • Managing the Representative's calendar and schedule of appointments, including receiving high-ranking visitors and handling protocol matters.
  • Taking minutes during meetings and screening calls with tact and discretion.
  • Preparing informal translations and acting as an interpreter when required.
  • Managing all aspects of the Representative's travel arrangements and compiling draft mission reports. 1
  • Assisting the Representative with political and environmental scanning by coordinating information from various sources. 1
  • Supporting the Representative's involvement in corporate initiatives and consolidating updates on UN-wide changes. 1
  • Providing basic administrative, finance, and human resources support to the operations unit as needed.

Required Qualifications:
The ideal candidate for the Personal Assistant position should possess the following qualifications:
  • Completed Secondary Level Education is required; a first-level university degree is desirable.
  • A minimum of six years of relevant experience in administration is required.
  • Strong interpersonal and organizational skills are essential.
  • Proficiency in current office software applications is necessary.
  • Good written and verbal communication skills are required.
  • Demonstrated ability to take initiative and be proactive in managing tasks and responsibilities.

Educational Background:
Candidates should have completed Secondary Level Education as a minimum requirement. A first-level university degree is considered desirable and may enhance the candidate's qualifications for the role.

Experience:
Candidates should have at least six years of relevant experience in administration, demonstrating strong organizational and interpersonal skills. Experience in a similar role within an international organization or a governmental agency is preferred, as it would provide valuable insights into the workings of such environments.

Languages:
Fluency in English, Uzbek, and Russian is required for this position. Proficiency in these languages is essential for effective communication within the organization and with external stakeholders.
