Job Overview:
The Project Assistant (Design) will play a crucial role in supporting the National Project Officer (Design) by providing comprehensive administrative, operational, and technical assistance in the preparation and organization of architectural documentation. This position involves compiling inputs from design engineers, architects, and implementing partners, ensuring that all project files and documentation are meticulously prepared and organized. The assistant will also facilitate the coordination of information flow among the Design Team, implementing partners, and relevant authorities, ensuring that all necessary documents and correspondence are collected and transmitted efficiently. Additionally, the role includes monitoring project documentation progress, providing logistical support for site visits and meetings, and assisting in procurement processes by preparing technical inputs and organizing vendor documentation. The Project Assistant will maintain accurate records of all technical documentation and ensure compliance with IOM's policies and procedures, contributing to a respectful work environment.

Duties and Responsibilities:
  • Assist the National Project Officer (Design) in the preparation, organization, and formatting of architectural documentation, including drawings, plans, schedules, bills of quantities, and reports.
  • Compile inputs received from design engineers, architects, and implementing partners to ensure comprehensive project documentation.
  • Support the coordination of information flow between the Design Team and relevant stakeholders by collecting and transmitting required documents and correspondence.
  • Assist in processing permits and regulatory documentation by gathering and organizing necessary paperwork.
  • Monitor project documentation progress, track submissions, versions, and deadlines, and update internal trackers and shared repositories.
  • Provide logistical and operational support for site visits, meetings, and field missions, including coordinating schedules and preparing documentation packages.
  • Support procurement processes by preparing standardized technical inputs and organizing materials for technical evaluations.
  • Compile routine information for technical reports, including data collection from project teams and preparing initial drafts and summaries.
  • Maintain accurate and organized records of technical documentation, correspondence, and reports in line with IOM procedures. 1
  • Conduct duty travel to support site assessments and stakeholder meetings as required. 1
  • Perform other duties as assigned by the National Project Officer (Design).

Required Qualifications:
  • High school diploma with six years of relevant experience; or a Bachelor’s degree in architecture or a related field from an accredited academic institution with four years of professional experience.
  • Certification as a licensed professional architect is considered an asset.
  • Demonstrated experience working with construction project documentation, including drawings, plans, schedules, and related technical materials.
  • Experience in planning and implementation of construction or infrastructure-related projects.
  • Familiarity with design documentation approval processes and state expertise procedures is advantageous.
  • Experience supporting the implementation of construction or rehabilitation projects is preferred.

Educational Background:
Candidates must possess either a high school diploma with six years of relevant experience or a Bachelor’s degree in architecture or a related field from an accredited institution, accompanied by four years of professional experience. Additional certification as a licensed professional architect would be beneficial and enhance the candidate's qualifications for this role.

Experience:
The position requires demonstrated experience in working with construction project documentation, including familiarity with drawings, plans, schedules, and bills of quantities. Candidates should have experience in planning and implementing construction or infrastructure-related projects, as well as knowledge of design documentation approval processes and state expertise procedures. Practical experience supporting the implementation of construction or rehabilitation projects is also essential, along with a good working knowledge of urban planning and architectural documentation.

Languages:
Proficiency in English is mandatory, and knowledge of additional languages may be considered an asset, enhancing communication with diverse stakeholders and partners.

Additional Notes:
This position may involve travel for site assessments and meetings with stakeholders. The role is expected to be full-time, and candidates should be prepared to work under pressure and meet deadlines.
