Job Overview:
The Programme Assistant, G-5, TA, plays a crucial role in supporting the Nutrition section by coordinating key work processes and ensuring compliance with established rules and deadlines. This position requires close collaboration with section heads, project officers, and other programme assistants to facilitate effective planning, coordination, and delivery of activities. The Programme Assistant will be responsible for managing logistics for events, processing contracts, and maintaining accurate financial records. The role demands strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Programme Assistant will also provide travel assistance and support the preparation of administrative documents, ensuring that all processes align with UNICEF's operational procedures.

Duties and Responsibilities:
The Programme Assistant will undertake a variety of tasks, including:
  • Facilitating the processing of contracts for consultants, vendors, and external partners, ensuring all documentation is prepared and filed correctly.
  • Carrying out programme and financial transactions in VISION and FIORI, ensuring accurate coding and alignment with approved Annual Work Plans.
  • Coordinating logistical arrangements for meetings, conferences, workshops, and training sessions, including liaising with partners and managing participant coordination.
  • Preparing and maintaining administrative, programme, and financial records to support project monitoring.
  • Drafting and tracking administrative documents for approval, including payment requests.
  • Supporting procurement processes and maintaining compliance with UNICEF's administrative requirements.
  • Providing travel assistance to section staff and monitoring travel plans.
  • Maintaining office systems and schedules, including managing calendars and organizing meetings.

Required Qualifications:
Candidates must possess strong administrative and organizational skills, with a proven ability to manage multiple tasks and meet deadlines. Experience in processing programme, financial, procurement, and travel transactions is essential. Proficiency in enterprise resource planning systems such as VISION and FIORI is required, along with a high attention to detail in handling documentation. Good written and verbal communication skills are necessary, as is the ability to work both independently and collaboratively. Proficiency in Microsoft Office applications is also required.

Educational Background:
The minimum educational requirement for this position is the completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization. This educational background will provide the foundational knowledge necessary for the administrative and logistical tasks associated with the role.

Experience:
Candidates should have a minimum of five years of progressively responsible administrative or clerical work experience. This experience should include roles that have involved significant organizational responsibilities and the management of logistical processes, particularly in a context similar to UNICEF's operational environment.

Languages:
Fluency in English and Filipino is mandatory, both oral and written. This language proficiency is essential for effective communication within the organization and with external partners.
