Job Overview:
The Project Support Assistant will play a crucial role in supporting the operational implementation of program activities. This position involves providing administrative and logistical follow-up, coordinating documentation, and supporting activity-level workflows. The assistant will be responsible for tracking and following up on Implementing Partner (IP) agreements, maintaining agreement trackers, and organizing supporting documentation. Additionally, the role includes assisting with routine activity and progress tracking to aid the Project Officer in monitoring implementation. The assistant will also support Monitoring, Evaluation, Accountability, and Learning (MEAL) processes at the activity level, ensuring proper documentation and accountability. Furthermore, the role involves supporting Protection from Sexual Exploitation and Abuse (PSEA) and safeguarding-related processes, maintaining organized filing systems, and ensuring audit readiness and compliance. The Project Support Assistant will also perform other duties as assigned to support project objectives, making this a dynamic and integral position within the team.

Duties and Responsibilities:
  • Support operational implementation of program activities by providing administrative and logistical follow-up, coordinating documentation, and supporting activity-level workflows.
  • Track and follow up on Implementing Partner (IP) agreements by maintaining agreement trackers and organizing supporting documentation.
  • Assist in routine activity and progress tracking to support the Project Officer in monitoring implementation, including compiling activity updates and maintaining simple tracking tools.
  • Support MEAL-related processes by organizing monitoring files, consolidating basic data and records, and ensuring proper filing of supporting evidence.
  • Assist with PSEA and safeguarding-related processes by conducting basic PSEA orientations and maintaining attendance records.
  • Maintain organized filing and documentation systems to support audit readiness and compliance, managing both physical and electronic records.
  • Perform additional duties as assigned to support project objectives.

Required Qualifications:
Candidates must possess a Bachelor’s degree in business administration or related fields from an accredited institution, along with two years of relevant professional experience. Alternatively, a high school diploma in the above fields with four years of relevant experience is acceptable. Accredited universities are those listed in the UNESCO World Higher Education Database. Candidates should demonstrate strong organizational and coordination skills, attention to detail, and the ability to manage multiple tasks simultaneously. They must also have the ability to maintain accurate records and filing systems for operational and program documentation.

Educational Background:
The educational background required for this position includes a Bachelor’s degree in business administration or related fields from an accredited institution. Candidates with a high school diploma in the relevant fields are also considered if they have four years of relevant experience. It is essential that the educational qualifications come from accredited universities recognized by the UNESCO World Higher Education Database.

Experience:
The position requires demonstrated experience in supporting project implementation, including coordination with field teams and implementing partners. Candidates must have experience in tracking agreements, activities, or deliverables, such as IP agreements and activity trackers. Experience in supporting basic monitoring and documentation processes, including activity tracking and filing of verification documents, is also required. Additional experience in procurement, logistics, or operational follow-up is advantageous, as is experience supporting PSEA orientations and compliance-related processes. Prior experience working with IOM, UN agencies, NGOs, or government counterparts is considered an asset.

Languages:
For this position, fluency in Portuguese and English is mandatory, both oral and written. IOM’s official languages are English, French, and Spanish, and all staff members are required to be fluent in one of these languages. Knowledge of other local languages is considered desirable and advantageous for the role.

Additional Notes:
This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Mozambique will be considered. The offer made to the candidate is contingent upon funding confirmation. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months. Appointment is subject to certification of medical fitness, verification of residency, visa, and government authorizations where applicable.
