Job Overview: The Project Assistant will play a crucial role in the implementation and monitoring of project activities related to Disaster Risk Management (DRM), Nature-Based Solutions (NBS), and climate adaptation initiatives. This position requires a proactive individual who can support field implementation efforts, ensuring that project interventions are delivered effectively and on time at both community and district levels. The Project Assistant will be responsible for retrieving, compiling, summarizing, analyzing, and presenting data on specific project topics, which is essential for informed decision-making and reporting. The role also involves monitoring the project budget, verifying the availability of funds, and ensuring that all financial information is up-to-date. The Project Assistant will act as a focal point for administrative coordination, liaising with various organizational units and external parties to facilitate project implementation. This includes drafting status reports, correspondence, and other documentation related to project issues, as well as organizing meetings, workshops, and training sessions. The Project Assistant will also participate in meetings and conferences, assisting in coordinating activities with local authorities, partners, and other stakeholders relevant to the project. Overall, this position is integral to the successful execution of project goals and objectives, requiring strong organizational and communication skills.
Duties and Responsibilities:
Assist in the implementation and monitoring of project activities related to DRM, NBS, and climate adaptation.
Support field implementation efforts to ensure timely and effective delivery of project interventions.
Retrieve, compile, summarize, analyze, and present information/data on specific project topics.
Monitor project budgets, verify fund availability, and update budget-related information.
Act as the focal point for administrative coordination of project implementation, liaising with diverse organizational units and external parties.
Draft status reports, identifying shortfalls in delivery and suggesting remedial actions.
Prepare and update reports, briefing notes, graphics, statistical tables, and other documentation.
Respond to complex information requests and inquiries, maintaining organized files and records.
Organize meetings, workshops, and training sessions related to project activities. 1
Participate in meetings and conferences, coordinating implementation activities with local authorities and stakeholders. 1
Assist in monitoring the work of implementing partners and report non-compliances to the supervisor. 1
Provide guidance and training to new or junior staff members. 1

Required Qualifications:
Bachelor’s degree in disaster risk management, environmental studies, development studies, social sciences, or a related field from an accredited academic institution with three years of relevant professional experience.
Alternatively, a High School diploma in the above fields with five years of relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Relevant experience in project or field support roles within humanitarian, development, or DRM-related programs is required.
Experience in supporting field implementation and coordination of community-based activities is essential.
Experience supervising field staff or casual/Third Party Contract (TPC) personnel is required.
Experience working with local authorities and community structures is desirable.
Experience in disaster-affected or displacement settings is an advantage.
Experience liaising with governmental authorities, national/international institutions, and NGOs is beneficial. 1
Prior work experience with international humanitarian organizations is an advantage.
Educational Background: The educational background required for this position includes a Bachelor’s degree in disaster risk management, environmental studies, development studies, social sciences, or a related field from an accredited academic institution. Alternatively, candidates with a High School diploma in the aforementioned fields and five years of relevant professional experience will also be considered. It is important that the educational qualifications are from accredited institutions recognized by the UNESCO World Higher Education Database, ensuring that the candidate has received a quality education that meets international standards.
Experience: The level of experience needed for this position includes relevant professional experience in project or field support roles, particularly within humanitarian, development, or disaster risk management-related programs. Candidates should have at least three years of experience if they hold a Bachelor’s degree, or five years if they possess a High School diploma. Experience in supporting field implementation and coordination of community-based activities is essential, as is experience supervising field staff or casual/Third Party Contract personnel. Additionally, experience working with local authorities and community structures is desirable, along with experience in disaster-affected or displacement settings. Candidates with experience in liaising with governmental authorities, national/international institutions, and NGOs will have an advantage, as will those who have participated in construction projects or initiatives linked to community-based resilience infrastructure.
Languages: For this position, fluency in Portuguese and English is required, both oral and written. Proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments. Additionally, working knowledge of other local languages is considered an advantage, as it may enhance communication with local communities and stakeholders.
Additional Notes: This position is subject to local recruitment, meaning that only candidates holding a valid residence and work permit for Mozambique will be eligible for consideration. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and necessary authorizations by the concerned government, where applicable. The selection process may be used to staff similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar positions for a period of 24 months.
