Job Overview: The Supply Associate position is crucial for managing and supporting all activities related to the supply chain function within UNHCR. This role involves planning, sourcing, procurement, transport, shipping, customs clearance, warehousing, asset management, and fleet management. The ideal candidate will need to demonstrate a proactive and practical approach to these activities, especially in a complex operational environment characterized by high volume and time-sensitive demands. Strong organizational skills are essential, as the incumbent will be required to manage multiple priorities under tight deadlines. Effective coordination with internal units, partners, and external service providers is vital, ensuring compliance with UNHCR’s standards of ethics, transparency, and accountability. The candidate should also possess good interpersonal and communication skills to work effectively within a multicultural and dynamic team.
Duties and Responsibilities: The Supply Associate will be responsible for a wide range of duties including: supporting supply activities in compliance with supply chain rules and procedures to facilitate UNHCR's end-to-end processes, preparing delivery plans for relief and non-food items, applying UNHCR's sourcing and procurement strategy, maintaining accurate records on supply activities, evaluating purchase requisitions, drafting and dispatching quotation requests and tenders, preparing purchase orders, providing guidance on procurement policies, monitoring supply chain data quality, disseminating UNHCR's global policies on supply chain management, tracking operations progress, managing local liaison with partners, coordinating supply activities of UNHCR partners and contractors, implementing effective asset and fleet management, and supporting risk management and decision-making processes.
Required Qualifications: Candidates must possess a minimum of 3 years of relevant experience with a High School Diploma, or 2 years of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include knowledge of supply chain management, procurement processes, and logistics. Candidates should also have strong IT skills, particularly in computer literacy and familiarity with supply chain management software such as PeopleSoft. Other desirable qualifications include training in UN procurement and logistics.
Educational Background: The educational background required for this position includes a High School Diploma as a minimum, with a preference for candidates holding a Bachelor’s degree in fields such as Business Administration, Economics, Marketing, or a related field. Relevant certifications in supply chain management or logistics are also advantageous.
Experience: The position requires candidates to have at least 3 years of relevant experience in supply chain management or procurement for those with a High School Diploma, or 2 years for those with a Bachelor’s degree. Experience in a UN or international organization is desirable but not mandatory. Candidates should demonstrate a solid understanding of supply chain processes and the ability to work in a fast-paced environment.
Languages: Knowledge of English is mandatory, along with the UN working language of the duty station if it is not English. For national professional jobs, knowledge of the local language is also required. Proficiency in additional languages is considered an asset but is not mandatory.
