Job Overview: The Finance Assistant position is a critical role within the IOM that supports the financial operations of the organization. The incumbent will work under the supervision of the Head of Resource Management Officer (HRMO) and the National Resource Management Officer (NRMO), directly reporting to the Senior Finance Associate. The primary functions of this role include extracting and inputting data from various financial sources, responding to financial queries, assisting in payroll preparation, and ensuring compliance with IOM finance policies. The Finance Assistant will also be responsible for the systematic filing of accounting documents, managing petty cash, and providing support for travel and expense claims. Duties and Responsibilities: The Finance Assistant will have a comprehensive set of responsibilities, including but not limited to: extracting and inputting financial data into accounting systems; responding to queries related to accounting and budgeting; assisting in payroll preparation by conducting validity checks; reviewing payment requests to ensure proper authorization and documentation; creating new vendor accounts in the PRISM system; verifying vendor requests for accuracy; performing claim verifications against documentation; preparing necessary receipts and journal vouchers; assisting in the preparation of budget and financial reports; providing assistance to staff services such as travel and expense claims; ensuring proper filing of all accounting documents; managing the office's petty cash; and performing other related duties as required.
Required Qualifications: Candidates must possess a high school diploma with four years of relevant experience, or a bachelor's degree in Business Administration, Accounting, Finance, or related fields with at least two years of relevant professional experience. Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook, is essential. Previous experience with SAP is considered a distinct advantage. The ideal candidate should demonstrate attention to detail, organizational skills, discretion, and a client-oriented approach. A willingness to learn and adapt in a multicultural environment is also important.
Educational Background: The educational requirements for this position include a high school diploma or a bachelor's degree in a relevant field such as Business Administration, Accounting, or Finance. The educational background should be complemented by practical experience in financial management or accounting roles, which is crucial for performing the duties of the Finance Assistant effectively.
