Job Overview: The Project Assistant will play a crucial role in supporting the planning, coordination, implementation, and monitoring of project activities. This position requires a proactive individual who can compile, summarize, analyze, and present information on specific project topics, ensuring that noteworthy issues are highlighted for consideration by relevant parties. The Project Assistant will also monitor budget implementation, propose necessary adjustments, and act as a focal point for administrative coordination, which involves extensive liaison with various organizational units and external parties. The role demands strong organizational skills to draft status reports, identify delivery shortfalls, and suggest corrective measures. Additionally, the Project Assistant will organize meetings, workshops, and training sessions, preparing training materials and participating in capacity-building workshops. The position requires effective communication and coordination with local authorities, partners, and stakeholders relevant to the project, ensuring compliance and reporting any non-compliance to the supervisor. The Project Assistant will also provide guidance and training to other staff members and may supervise them as assigned.
Duties and Responsibilities:
Assist in the planning, coordination, implementation, and monitoring of project activities.
Compile, summarize, analyze, and present information/data on specific project topics, highlighting noteworthy issues for the consideration of appropriate parties.
Monitor budget implementation and propose adjustments as necessary.
Act as focal point for administrative coordination of project implementation, involving extensive liaison with diverse organizational units and external parties to initiate requests, obtain necessary clearances, follow up on administrative actions, etc.
Draft status reports; identify shortfalls in delivery, bring them to the attention of the supervisor and suggest corrective measures.
Draft correspondence on project issues; prepare and update reports, briefing notes, graphics, statistical tables, and other forms of documentation.
Organize meetings, workshops, and training sessions; prepare training materials and participate in the delivery of capacity-building workshops.
Respond to complex information requests and inquiries; set up and maintain files/records.
Participate in meetings and conferences; maintain effective liaison and coordination with local authorities, partners, United Nations agencies, intergovernmental and non-governmental organizations, donors, and other stakeholders relevant to the project. 1
Monitor work of implementing partners and report any non-compliance to the supervisor. 1
Provide inputs for the development of Standard Operations Procedures (SOP) and concept papers and provide general support for the development of new projects. 1
Provide guidance/training and assist in coordinating and monitoring the work of other staff in the unit; may supervise other staff as assigned. 1
Drive the official IOM vehicles as needed, and as requested by the supervisor and/or the office manager. 1
Perform other related duties as assigned.
Required Qualifications: The ideal candidate should possess a school diploma with six years of relevant experience or a Bachelor's degree in political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with four years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Candidates should have experience in liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is essential. Prior work experience with international humanitarian organizations, non-government or government institutions/organizations in a multi-cultural setting is an advantage.
Educational Background: Candidates must have a school diploma with six years of relevant experience or a Bachelor's degree in political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution. Languages: Fluency in Spanish is required for this position, both oral and written. A working knowledge of English is desirable. IOM's official languages are English, French, and Spanish, and proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
