Job Overview:
The Office Support Clerk position is integral to the smooth functioning of the Nepal GLOF Project Project Management Unit (PMU). The incumbent will be responsible for providing reliable administrative, logistical, and operational support to ensure that project staff, partners, and visitors can work effectively and safely. This role involves maintaining a clean and safe office environment, supporting meetings and events, managing deliveries and dispatches, and assisting with procurement, assets, and inventory management. The Office Support Clerk will also facilitate office operations and promote knowledge sharing while ensuring that workplace practices align with UNDP values of respect and inclusion. The position requires a proactive approach to office management and a commitment to fostering a collaborative and supportive work environment.

Duties and Responsibilities:
The Office Support Clerk will have a comprehensive set of duties and responsibilities, including:
  • Ensuring reliable and safe office support services, which involves the timely opening, closing, and securing of office premises, maintaining cleanliness in office areas, preparing meeting rooms for events, and assisting with routine administrative tasks.
  • Providing logistical and messenger support, including the collection and distribution of mails and documents, timely delivery of official correspondence, and maintaining an updated log of deliveries.
  • Supporting procurement, assets, and inventory management by assisting in the receipt and inspection of goods, maintaining records of office supplies, and conducting periodic inventory checks.
  • Facilitating effective office operations by assisting in setting up project events, managing office equipment, and ensuring the availability of office supplies.
  • Promoting Gender Equality and Social Inclusion (GESI) by ensuring respectful communication, supporting an inclusive workplace, and applying 'Do No Harm' principles in interactions with stakeholders. The Office Support Clerk will also perform other duties as necessary for the efficient functioning of the office and organization.

Required Qualifications:
The position requires the following qualifications:
  • Completion of high school is required, while a first-level university degree (bachelor) in Management, Administration, Public Administration, Finance, Accounting, or a related field will be considered an advantage.
  • Proficiency in computer applications such as Microsoft Word, Excel, and PowerPoint is essential.
  • Strong organizational skills with attention to detail in managing supplies and routine office tasks are necessary.
  • Experience in providing administrative and logistical support in a professional office environment is desired, along with knowledge of procurement and asset management procedures.
  • Familiarity with workplace safety, gender equality, and inclusion principles is also important.

Educational Background:
The educational background required for this position includes a minimum of a high school diploma. Candidates with a first-level university degree (bachelor) in relevant fields such as Management, Administration, Public Administration, Finance, or Accounting will be given preference, although it is not mandatory for applicants with a high school diploma to have professional work experience.

Experience:
The level of experience needed for the Office Support Clerk position includes a minimum of 3 years of relevant experience in administrative, clerical, or logistical support services for candidates with a high school diploma. For those with a bachelor's degree in a relevant field, professional work experience is not required, making the position accessible to recent graduates as well.

Languages:
Fluency in English and Nepali is required for this position. Knowledge of any other national language will be considered an asset, enhancing communication with diverse stakeholders and contributing to the inclusive environment that UNDP promotes.

Additional Notes:
The position is based in Kathmandu, Nepal, and operates under the National Implementation Modality (NIM) with the Department of Hydrology and Meteorology (DHM) as the implementing partner. The Office Support Clerk will report directly to the Administrative and Finance Analyst and will be part of a Project Management Unit that plays a crucial role in managing the GLOF project.
