Job Overview:
The position of Administrative Support to Healthcare Partners involves providing essential administrative assistance to the IOM team and its healthcare partners. The role is crucial in ensuring the smooth operation of health-related services within the Temporary Reception Center (TRC). The successful candidate will work closely with the Migration coordinator" style="border-bottom: 1px dotted #007bff !important;">Health Coordinator and/or Senior Project Associate to coordinate and implement planned activities that focus on the provision of primary health care services, outreach health promotion activities, and sexual and reproductive health services. This position requires a proactive approach to support healthcare partners in their initial health screening work and registration of beneficiaries, ensuring a professional and human-centered approach is maintained throughout. The role also includes assisting with administrative activities related to patient referrals and collaborating with Cantonal Public Health Institutes as assigned. The candidate will be responsible for monitoring budgets, preparing requisition forms, and drafting reports and correspondence, making this a multifaceted role that requires strong organizational and communication skills.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Support to Healthcare Partners include:
  • Providing administrative support to the IOM team and healthcare partners in the TRC.
  • Assisting in the coordination and implementation of health-related activities, including primary health care services and health promotion initiatives.
  • Supporting healthcare partners in their initial health screening processes and beneficiary registration efforts.
  • Managing administrative tasks related to patient referrals to emergency services and external consultations.
  • Liaising with the Procurement department to ensure timely ordering of necessary items and services.
  • Compiling, summarizing, and presenting information/data on specific project topics.
  • Monitoring project budgets and verifying the availability of funds.
  • Drafting status reports and correspondence, including briefing notes and presentations.

  • Responding to general inquiries and maintaining organized files and records. 1
  • Performing other duties as assigned by the supervisor.

Required Qualifications:
Candidates must possess a Bachelor’s degree in Medicine, Pharmacy, Nursing, Economics, or a relevant social science field, along with a minimum of 2 years of working experience in the Development Sector. Alternatively, candidates with a high school degree and a minimum of 4 years of experience in the Development Sector will also be considered. It is essential that candidates have experience working in the development sector, particularly with vulnerable populations, and possess a strong understanding of ethical practices and rights-based approaches. Proficiency in computer applications and excellent written and spoken communication skills are also required.

Educational Background:
The educational background required for this position includes a Bachelor’s degree in a relevant field such as Medicine, Pharmacy, Nursing, Economics, or social sciences. Candidates with a high school diploma may be considered if they have significant experience in the Development Sector. Accredited universities recognized by the UNESCO World Higher Education Database are preferred.

Experience:
Candidates should have at least 2 years of experience in the development sector, particularly in roles that involve assisting vulnerable populations or collaborating with health sector organizations. Experience working with foreign nationals, irregular migrants, trafficked persons, and children is highly desirable. Additionally, candidates should have experience in counseling, networking, and coordinating activities to ensure access to services for vulnerable populations.

Languages:
Fluency in English is mandatory, along with proficiency in one of the three official languages of Bosnia and Herzegovina: Bosnian, Croatian, or Serbian. Candidates will be evaluated on their language skills during the selection process, which may include written and oral assessments. Knowledge of IOM's official languages, which include English, French, and Spanish, is considered an asset.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Bosnia and Herzegovina will be considered. The appointment will be contingent upon medical fitness certification and verification of residency and visa requirements.
