Job Overview:
The Senior Supply Assistant plays a crucial role in supporting the supply chain functions within UNHCR. This position involves a variety of responsibilities including planning, sourcing, procurement, transport, shipping, customs clearance, warehousing, and fleet management. The incumbent will work under the supervision of a higher-level supply position and will be expected to operate independently on routine tasks while following guidance on more complex issues. The role requires effective communication and collaboration with various stakeholders, including other UNHCR offices, NGOs, government partners, and commercial contractors, to ensure the efficient management of material resources. The Senior Supply Assistant will also be responsible for maintaining accurate records of supply activities and providing timely reports to support decision-making processes.

Duties and Responsibilities:
The duties of the Senior Supply Assistant include supporting supply activities in compliance with UNHCR supply chain rules and procedures, applying sourcing and procurement strategies, initiating customs clearance, managing warehouse operations, maintaining accurate records, preparing purchase orders, and providing information on procurement activities. The incumbent will also track supply KPIs, assist in periodic supply exercises, and ensure effective local liaison to support supply activities. Additionally, the role involves managing property, plant, and equipment (PPE) in accordance with UNHCR regulations, identifying and managing risks, and performing other related duties as required.

Required Qualifications:
Candidates must possess a minimum of 2 years of relevant experience with a High School Diploma or 1 year of relevant experience with a Bachelor’s degree or higher. Essential functional skills include IT literacy, knowledge of supply chain management, customs clearance, logistics, warehouse management, asset management, and fleet management. Candidates should demonstrate the ability to manage multiple tasks efficiently and effectively, often under tight deadlines, while providing guidance to junior staff as needed.

Educational Background:
The educational background required for this position includes a High School Diploma as a minimum, with a Bachelor’s degree or equivalent being preferred. No specific field of education is mandated, but relevant training in supply chain management or procurement is advantageous.

Experience:
The position requires at least 2 years of relevant experience in supply chain operations, logistics, or procurement, preferably within the UN or other international organizations. Experience in handling procurement and contract-related matters in line with UN policies is essential, along with a solid understanding of supply chain processes and best practices.

Languages:
Knowledge of English is mandatory, and proficiency in the UN working language of the duty station is required if it is not English. For General Service jobs, knowledge of the local language is also beneficial. Working knowledge of Spanish at a B2 level is considered an asset.
