Job Overview: As a (Senior) Administrative Assistant at the EIB, you will be integral to the Operations Directorate (OPS), providing essential support to the Head of Division and the wider team. This role is pivotal in ensuring the smooth operation of the department, enhancing efficiency and performance in various activities. You will be working in a dynamic and multicultural environment, where your organizational skills and attention to detail will be highly valued. The position requires regular office presence at the EIB headquarters in Luxembourg, and you will be expected to collaborate closely with colleagues across various departments, including Legal, Risk & Compliance, and Project Directorates. Duties and Responsibilities: Your primary responsibilities will include supporting loan and investment officers by updating business information, organizing contacts, and coordinating the full lending or investment process. This encompasses scheduling meetings, appointments, and business trips, as well as preparing briefing materials and managing documents and reports. You will ensure smooth communication with clients and colleagues, even when officers are on assignment. Additionally, you will maintain up-to-date project statistics and pipelines, conduct research, present data, and assist in organizing meetings and conferences. You will also collaborate with team members to onboard new colleagues and contribute to a positive and efficient team environment. Embracing new technologies and digital advancements to enhance productivity will be a key aspect of your role, as will ensuring adherence to procedures and effective use of digital tools.
Required Qualifications: To qualify for this position, you must have completed secondary level education, complemented by a 2-year certification in a relevant field such as economics, accounting, legal, or business administration. Alternatively, you may have secondary level education with equivalent experience in a relevant field. A minimum of 3 years of experience in an administrative support role, preferably within an international organization, is required. You should possess strong organizational and communication skills, with the ability to prioritize tasks and adapt to changing priorities in a multicultural environment. A demonstrated ability to learn and utilize new technologies and digital tools is essential. Familiarity with the Bank's organizational structure, processes, and procedures, particularly in lending operations, would be advantageous. Proficiency in MS Office tools (Word, Excel, PowerPoint) is required, and knowledge of Business Objects and the Bank's standard computer tools and lending applications would be beneficial.
Educational Background: The educational background required for this position includes secondary level education, which must be complemented by a 2-year certification in a relevant field such as economics, accounting, legal, or business administration. Alternatively, candidates may qualify with secondary level education and equivalent experience in a relevant field.
