Job Overview: The Human Resources Assistant will play a crucial role in supporting the coordination of human resources functions within the IOM office in Ankara. This position involves a variety of tasks aimed at facilitating recruitment processes, managing employee documentation, and ensuring compliance with organizational policies. The successful candidate will be responsible for coordinating the publication of vacancy notices, sorting applications, arranging interviews, and preparing necessary documentation. Additionally, the role includes managing pre-employment activities, maintaining HR data accuracy, and supporting various HR-related processes such as separations and promotions. The assistant will also be involved in organizing training and meetings, responding to HR inquiries, and performing other related duties as assigned. This position requires a proactive approach to managing HR functions and a commitment to maintaining high standards of service delivery.
Duties and Responsibilities:
Coordinate recruitment processes including the publication of vacancy notices, sorting applications, arranging interviews, and preparing documentation.
Carry out pre-employment activities such as preparing Entry on Duty documentation, coordinating medical exams, and managing orientation sessions.
Maintain and input data into the organizational HR system, ensuring accuracy and consistency.
Act as Timekeeper, managing leave quotas and generating leave-related reports.
Support separation, classification, and promotion processes by collecting documentation and coordinating with relevant units.
Update and maintain electronic and physical archiving systems for personnel and recruitment files.
Draft employment certificates, notices, and reports, and support the submission of documents.
Organize meetings and training activities, handling logistical arrangements.
Respond to inquiries regarding HR policies and procedures. 1
Perform other related duties as assigned by the supervisor.
Required Qualifications:
High School diploma with four years of relevant experience; or a Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field with two years of relevant professional experience.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Previous experience with SAP is an advantage.
Strong attention to detail and organizational skills.
Ability to work discreetly and maintain confidentiality.
Experience in a multicultural setting, particularly with international humanitarian organizations, is preferred.
Educational Background: Candidates must possess at least a High School diploma, with a preference for those holding a Bachelor’s degree in relevant fields such as Human Resources, Business Administration, or Psychology. Accredited universities recognized by the UNESCO World Higher Education Database are preferred for degree qualifications.
Experience: The position requires a minimum of two years of relevant professional experience for candidates with a Bachelor’s degree, or four years for those with a High School diploma. Experience in human resources functions, particularly in recruitment and employee management, is essential. Familiarity with international organizations and humanitarian contexts is highly valued.
Languages: Fluency in English and Turkish is required, both oral and written. Knowledge of additional languages such as French or Spanish is considered an asset, as IOM operates in multiple languages and proficiency may be evaluated during the selection process.
