Job Overview: The Procurement Associate position at UNFPA is crucial for the effective management of procurement processes within the organization. This role involves leading the purchasing processes for the country office, ensuring that procurement activities align with the organization's goals and standards. The Procurement Associate will report to the International Operations Manager and will be responsible for providing quality services in procurement, management, and supply chainadministration. Duties and Responsibilities: The Procurement Associate will have a comprehensive set of responsibilities, including: 1) Supervising, executing, and coordinating procurement activities, ensuring timely preparation of procurement plans and monitoring their implementation. 2) Analyzing purchasing requirements, communicating with requesters, and processing purchase documentation for transactions under USD 5,00
3) Assessing proposals and negotiating with suppliers to select cost-effective and high-quality options. 4) Compiling files for submission to relevant committees and processing purchase orders and contracts. 5) Ensuring timely tracking of pending purchase orders and addressing any issues that arise. 6) Reviewing and validating invoices and coordinating with finance personnel for payment processes. 7) Coordinating with the Supply Chain Management Unit to track procurement activities. 8) Developing and managing a supplier registry and ensuring adequate monitoring of contracting processes. 9) Providing advice and guidance on procurement processes to UNFPA staff and implementing partners. 10) Monitoring supply chain compliance and supporting asset management activities, including inventory certification and asset disposal documentation. 11) Carrying out any other duties as required by UNFPA leadership.
Required Qualifications: Candidates for the Procurement Associate position must possess a minimum of a High School Diploma, with a bachelor's degree in administration, procurement, business administration, supply chain management, industrial engineering, or a related field being desirable but not mandatory. Additionally, candidates should have a minimum of 6 years of relevant experience, particularly in purchasing and international logistics processes. Experience in purchasing management within the public sector and in a customer-oriented international organization is also desirable. Knowledge of United Nations purchasing procedures and regulations is a plus. Proficiency in Microsoft Office, Google Suite, and familiarity with ERP systems is required, with additional proficiency in MS Project or similar software being advantageous. A UNDP CIPS2 certificate and familiarity with PowerBI and Quantum systems are also desirable qualifications.
Educational Background: The educational background required for the Procurement Associate position includes at least a High School Diploma.
