Job Overview: The consultant will provide programmatic support to the World Urban Forum Coordination Office, specifically in preparations for WUF13, information management, and overall coordination, monitoring, and reporting. The role involves working closely with the WUF Coordinator to ensure that administrative tasks are managed effectively, priorities are set, and workflow is maintained. The consultant will be responsible for compiling and analyzing data, managing correspondence, and supporting the organization of meetings and events related to the Forum. This position is crucial for ensuring that the WUF operates smoothly and that all stakeholders are effectively engaged in the process of sustainable urban development.
Duties and Responsibilities: The consultant will perform a variety of duties under the direct supervision of the World Urban Forum Coordinator, including:
Providing administrative support to manage priorities and workflow for the unit;
Compiling and analyzing data from various sources;
Screening and prioritizing incoming correspondence;
Researching and summarizing background materials for reports and briefs;
Handling complex information requests and inquiries;
Organizing meetings with stakeholders and preparing necessary documentation;
Establishing and improving administrative procedures;
Organizing administrative matters for official receptions and meetings;
Preparing and processing confidential information; 1
Managing various administrative duties such as leave records and travel arrangements; 1
Producing complex documents and reports using standard word processing software; 1
Managing and updating internal databases and websites; 1
Required Qualifications: Candidates must possess a high school diploma or equivalent. A degree in administrative services, human resources, finance, or a related area is highly desirable. A minimum of seven years of experience in administrative services, human resources, finance, or a related area is required. This experience requirement is reduced to five years for candidates with a first-level university degree or higher. Experience dealing with time-sensitive and confidential administrative matters supporting senior officials is desirable, as is experience within the United Nations System or similar organizations. Additionally, one year or more of experience in data analytics or a related area is desirable.
Educational Background: The educational background required for this position includes a high school diploma or equivalent as a minimum requirement. A degree in administrative services, human resources, finance, or a related field is highly desirable and will enhance a candidate's qualifications for the role.
Experience: The position requires a minimum of seven years of relevant experience in administrative services, human resources, finance, or a related area. Candidates with a first-level university degree or higher may qualify with five years of experience. Desirable experience includes three years of handling time-sensitive and confidential administrative matters, particularly in support of senior-level officials, as well as experience working within the United Nations System or similar organizations.
Languages: Fluency in oral and written English is required for this position, as English is one of the working languages of the United Nations Secretariat. Knowledge of another official United Nations language, such as French, is considered an advantage and may enhance a candidate's suitability for the role.
