The Danish Refugee Council (DRC) is one of the world’s leading non-governmental organizations (NGOs) focused on responding to displacement crises. Established in 1956, DRC has been operational in Bangladesh since 2013, initially responding to the needs of displaced populations. In 2017, in response to the Rohingya influx, DRC launched an integrated program to support the government in site management, shelter/NFI, and protection. By 2018, DRC expanded its efforts to aid host communities affected by the refugee influx, establishing an area office in Cox’s Bazar and a country office in Dhaka. DRC operates in multiple countries, providing humanitarian assistance and development support, with a mission to protect the rights of displaced people and provide them with the necessary support to rebuild their lives.

Job Overview:
The Supply Chain Assistant plays a crucial role in ensuring the smooth operation of procurement, warehousing, asset management, and fleet management within the Danish Refugee Council. This position is essential for the timely and compliant delivery of goods and services, adhering to DRC policies, donor regulations, and program requirements. The Supply Chain Assistant will be responsible for assisting in various operational tasks, ensuring that all processes are conducted efficiently and effectively. This role requires a proactive approach to problem-solving and a commitment to maintaining high standards of compliance and integrity in all supply chain activities. The successful candidate will work closely with various stakeholders, including suppliers, program staff, and other departments, to ensure that the supply chain functions optimally and supports the overall mission of DRC.

Duties and Responsibilities:
The Supply Chain Assistant will have a diverse set of responsibilities, including but not limited to:
  • Procurement: Assisting in procurement processes by collecting quotations, preparing purchase documentation, and communicating with suppliers to ensure timely delivery of goods and services. Maintaining accurate procurement records and ensuring compliance with DRC policies.
  • Warehouse Management: Overseeing all tasks related to warehouse management, including the receipt, inspection, handling, storage, and dispatch of goods in accordance with approval procedures. Organizing kitting as required by programs and ensuring all stock-related documents are updated accurately and timely. Conducting random stock counts and physical inventories, reporting discrepancies, and planning labor requirements for loading/unloading.
  • Fleet Management: Ensuring safe and efficient transport of staff and materials to the field, maintaining proper filing of vehicle and driver documents, and collaborating with the security" style="border-bottom: 1px dotted #007bff !important;">security department for vehicle tracking and safety measures.
  • Asset Management: Carrying out asset management tasks, ensuring all assets are recorded and tagged according to DRC policies, and assisting with physical asset checks and inventory reconciliations.
  • Safety: Complying with all safety rules and procedures, reporting incidents and near-misses, and ensuring adherence to safety protocols to protect colleagues and the organization.

Required Qualifications:
Candidates must possess a minimum of 1 year of experience in a Supply Chain, Procurement, Logistics, or related support role within NGOs or INGOs. A strong understanding of procurement procedures, vendor communication, and documentation compliance is essential. Familiarity with warehouse operations, inventory management, and asset tracking is required, along with knowledge of fleet coordination and vehicle booking. Proficiency in Microsoft Office, particularly Excel for data tracking and reporting, is necessary. Knowledge of ERP systems, such as DRC Dynamics 365, is preferred. Candidates should demonstrate strong attention to detail, good communication and coordination skills, and the ability to work under pressure while maintaining compliance and integrity.

Educational Background:
A minimum of a Bachelor’s degree in a relevant field is required, such as Business Administration, Supply Chain Management, Management, Finance, Accounting, Economics, or a related discipline. A professional certificate or Post Graduate Diploma in Supply Chain or Logistics (e.g., CIPS, CSCM, or PGD in SCM) will be considered an added advantage.

Experience:
The position requires at least 1 year of relevant experience in supply chain management, procurement, logistics, or a related support role, preferably within the NGO or INGO sector. Candidates should have a proven track record of managing supply chain processes effectively and efficiently, demonstrating the ability to work in a fast-paced environment and meet tight deadlines.

Languages:
Fluency in English and Bengali at an advanced level is mandatory. Knowledge of Chittagonian is considered an advantage, as it may facilitate communication with local communities and stakeholders.
