Job Overview: The Grants Management Officer (GMO) plays a crucial role in supporting the Grants Management Manager and the Program Support Unit by managing grant and partnership-related information, documentation, and processes. The GMO is responsible for ensuring that all grant-related information is current and that version control is maintained through DRC's Global Grants Management ERP system (Grants Card on Dynamics) and country-level filing systems (OneDrive/SharePoint). This position involves facilitating grants and partnership management processes, engaging with various stakeholders including Country Office support services, Technical Coordinators, and the HQ Grants Management Unit. The GMO will also be involved in organizing meetings related to grants, maintaining grant files, and supporting responses to audits and due diligence requests, thereby ensuring compliance and effective management of grants.
Duties and Responsibilities: The Grants Management Officer will have a comprehensive set of responsibilities including: managing and updating grant-related information and documentation in accordance with DRC's Operations Handbook and Global Grants Management ERP system; maintaining grant files and ensuring all relevant information is updated; organizing grant kick-off, quarterly review, and close-out meetings; capturing action points from these meetings and ensuring follow-up; supporting responses to due diligence and audit requests; engaging with the Risk and Compliance Unit to develop necessary documentation; producing and updating grant summary cheat sheets; facilitating timely signatures of grant-related documents; managing instalment tracking; maintaining reporting trackers; supporting partner engagement through updated partnership filing and risk assessments; assisting with partner onboarding and capacity building; and promoting Diversity, Equity & Inclusion within the organization.
Required Qualifications: To be considered for the Grants Management Officer position, candidates must possess excellent communication and interpersonal skills, enabling them to build relationships with both internal and external stakeholders. A minimum of one year of experience in grants management, preferably within an international NGO or donor-funded organization, is required. Candidates should demonstrate excellent writing skills in English, a sound understanding of grants management phases, and proficiency in Microsoft Office applications such as Word, Excel, and PowerPoint. A strong motivation for humanitarian objectives and principles, along with a self-motivated, flexible, and optimistic approach, is highly valued.
Educational Background: Candidates should have a relevant work and/or academic background that aligns with the responsibilities of the Grants Management Officer role. This may include degrees or certifications in fields related to international development, humanitarian assistance, or project management, which would provide a solid foundation for the tasks involved in grants management.
Experience: The position requires at least one year of experience in grants management, ideally with an international NGO or a donor-funded organization. This experience should encompass a solid understanding of the grants management process and the ability to navigate the complexities involved in managing grants effectively.
Languages: Fluency in English is essential for this position, encompassing speaking, writing, and reading skills. This proficiency is critical for effective communication and documentation within the role. Additional language skills may be considered an asset but are not mandatory.
