The selected candidate will be responsible for providing comprehensive administrative assistance to B-level staff, ensuring that operations run smoothly and efficiently. This role requires a high level of independence, as the candidate will work under minimal supervision. The ideal candidate will possess exceptional organizational and administrative skills, demonstrating initiative and discretion when handling sensitive matters. Strong interpersonal skills are essential, as the candidate will interact with staff at all levels within the organization. The position also demands sound judgment and the ability to collaborate effectively with a team of coordinators in the Immediate Office and across the department.
Duties and Responsibilities: The duties and responsibilities of the Administrative Coordinator/Senior Administrative Coordinator include, but are not limited to: organizing and prioritizing work to meet deadlines, managing multiple tasks under pressure, and providing technical support in the use of PeopleSoft Applications and other Fund-standard software. The candidate will be responsible for editing documents for grammar, style, and content, ensuring conformity to Fund standards. Additionally, the role involves finalizing and circulating important Fund documents such as Capacity Development reports, Board papers, and Working Papers. The candidate will also be tasked with organizing large conferences and seminars, including those held in member countries, and must demonstrate flexibility in working hours, including the possibility of overtime at short notice. Prior supervisory experience and relevant work experience in a Capacity Development department are preferred.
Required Qualifications: Candidates must possess a high school diploma or equivalent, supplemented by a minimum of six years of relevant experience. At least two of the six years must be in a lead role. The selected candidate must demonstrate the ability to organize and prioritize work effectively, meet deadlines, and work under pressure. Proven technical skills in PeopleSoft Applications and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint) are required. The candidate must also have strong editing skills and the ability to communicate effectively with Fund staff and external contacts at all levels.
Educational Background: The educational background required for this position typically includes the completion of a high school diploma or equivalent. Additional qualifications or certifications in administrative support or related fields may be beneficial but are not explicitly required.
Experience: The position requires a minimum of six years of relevant experience, with at least two years in a lead role.
