Job Overview:
The Human Resources Assistant (Talent Management) plays a crucial role within the Integrated Talent Management Division (ITMD) of IOM's Department of Human Resources Management. This position involves providing administrative support to the Staff Secretariat and the Mobility and Pathways Pool processes. The assistant will be responsible for maintaining up-to-date records of staff members eligible for mobility cycles, issuing notifications and decision letters, and managing communication related to mobility decisions. Additionally, the role includes logistical support for the Pathways Pool, assisting in organizing webinars and assessments, and managing the Workforce Planning and Forecasting SharePoint and social channels. The position requires a proactive approach to ensure that all relevant information is communicated effectively and that all requests are handled promptly and professionally.

Duties and Responsibilities:
  • Prepare and maintain lists of staff members eligible for each mobility cycle, ensuring all relevant documents and records are kept up-to-date.
  • Issue eligibility notifications to staff members on reassignment and relevant decision letters throughout the mobility process.
  • Manage the Staff Mobility shared mailbox, ensuring timely and professional handling of requests and redirecting queries as necessary.
  • Facilitate communication among all parties involved in the mobility decision process, ensuring access to up-to-date information.
  • Provide logistical support for the Pathways Pool, including organizing webinars and assessments.
  • Manage the Workforce Planning and Forecasting SharePoint and social channels, regularly reviewing and sharing updates and timelines with staff globally.
  • Perform other duties as assigned by the Senior Human Resources Officer or Human Resources Officer.

Required Qualifications:
Candidates must possess a high school diploma with at least five years of relevant professional experience, or a Bachelor’s degree in Business Administration, Human Resources, Finance, Accounting, Management, or a related field from an accredited academic institution with three years of relevant professional experience. Additionally, candidates should have thorough knowledge of the Microsoft Office suite (Word, Excel, PowerPoint) and familiarity with Microsoft Office collaboration tools (Teams, SharePoint) is a strong advantage.

Educational Background:
The educational background required for this position includes either a high school diploma with significant professional experience or a Bachelor’s degree in a relevant field such as Business Administration, Human Resources, Finance, Accounting, or Management. This educational foundation is essential to ensure that candidates have the necessary skills and knowledge to perform the duties of the Human Resources Assistant effectively.

Experience:
Candidates should have at least three years of experience providing administrative support in a large organization. Experience in organizing conferences and events is also required, as this role involves logistical support for various initiatives within the organization. The experience should demonstrate the ability to manage multiple tasks efficiently and effectively in a dynamic work environment.

Languages:
Fluency in English is required for this position, both oral and written. A working knowledge of French is highly desirable, and proficiency in another official UN language (Arabic, Chinese, Russian, or Spanish) is considered an advantage. IOM's official languages are English, French, and Spanish, and all staff members must be fluent in one of these languages. Language proficiency will be evaluated during the selection process, which may include written and/or oral assessments.

Additional Notes:
The position is a fixed-term contract for one year, with the possibility of extension. It is classified at the G-5 grade level and is part of the General Service Staff category. Candidates must possess the right of residence and the right to work in Switzerland, as this vacancy is considered locally recruited.
