Job Overview: The Project Assistant will work directly under the supervision of the Project Manager and the Head of the Labour Migration Division (LMD). The primary focus of this role is to provide advisory services to individuals with temporary protection status, ensuring that their needs for movement assistance are met. This includes offering guidance on nostrification of legal documents, participation in labour office requalification programs, and providing employment and legal advisory services. The Project Assistant will also be responsible for implementing and monitoring project activities, compiling and presenting data on specific project topics, and ensuring that project budgets are monitored and updated as necessary. This role requires strong administrative coordination skills, as the Project Assistant will liaise with various organizational units and external parties to facilitate project implementation. The position demands excellent communication skills to draft reports, correspondence, and other documentation, as well as the ability to organize meetings and training sessions effectively.
Duties and Responsibilities: The duties and responsibilities of the Project Assistant include:
Providing direct advisory services to individuals with temporary protection status, including assistance with legal documents and employment-related inquiries.
Assisting in the implementation and monitoring of project activities, ensuring that all tasks are completed on time and within budget.
Compiling, summarizing, and presenting information and data on specific project topics to support decision-making processes.
Monitoring project budgets, verifying the availability of funds, and obtaining necessary approvals for budget-related information.
Coordinating administrative tasks related to project implementation, including liaising with various organizational units and external parties.
Drafting status reports that identify shortfalls in project delivery and bringing these to the attention of the supervisor.
Preparing correspondence, reports, briefing notes, graphics, statistical tables, and presentations.
Responding to general information requests and inquiries, and maintaining organized files and records. 1
Performing other related duties as assigned by the supervisor.
Required Qualifications: The position requires a high school diploma with four years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with two years of relevant professional experience. Candidates must demonstrate experience in providing consultations to individuals from the target group of temporary protection holders, negotiating and liaising with government institutions, and working with migrants, refugees, and other vulnerable groups. Prior experience with international humanitarian organizations or government institutions in a multicultural setting is considered an advantage.
Educational Background: Candidates must possess either a high school diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, or Law. The educational background should be from an accredited academic institution, ensuring that candidates have a solid foundation in the principles and practices related to migration and humanitarian assistance.
Experience: The ideal candidate should have at least two years of relevant professional experience if holding a Bachelor’s degree, or four years of relevant experience if holding a high school diploma. Experience should include providing consultations to individuals with temporary protection status, negotiating with government institutions, and working with vulnerable populations such as migrants and refugees. Experience in international humanitarian settings is highly valued and may enhance a candidate's application.
Languages: Fluency in English, Czech, and either Ukrainian or Russian is required, both orally and in writing. Proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments. Knowledge of IOM’s official languages, which include French and Spanish, is considered a plus but not mandatory.
Additional Notes: This position is subject to local recruitment, meaning that only candidates holding a valid residence and work permit for the Czech Republic will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, and necessary government authorizations. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
