Job Overview:
The Project Coordinator will play a crucial role in the Safety, Security and General Services Section (SSG) by overseeing the planning, coordination, and management of various projects related to security and office services. This position requires the incumbent to ensure that projects are completed on time, within budget, and in compliance with the Bureau of Administration and Services (ADB) policies. The Project Coordinator will be responsible for liaising with stakeholders, setting deadlines, assigning responsibilities, and monitoring project progress. The role demands a proactive approach to problem-solving and effective communication skills to facilitate collaboration among team members and external partners.

Duties and Responsibilities:
  • Provide administrative support to ensure logistics and resource allocation for project implementation in coordination with GFM, including preparing project requirements, processing requisitions, and coordinating data collection.
  • Prepare and finalize project documents related to SSG activities, focusing on process analysis and understanding technical problems and solutions.
  • Contribute to the management and monitoring of tasks related to report preparation and project closure, maintaining project tracking systems and ensuring operational completeness of project activities.
  • Participate in coordination meetings for various Headquarters projects, preparing project-related documents and disseminating information to stakeholders.
  • Perform other related duties as assigned, supporting GFM in daily facilities service-related activities.

Required Qualifications:
Essential qualifications include a Diploma of College Studies (DEC) in architecture, drafting, project management, or a related field. Desirable qualifications include certification in project management methodologies and tools, preferably Prince II and MS Projects. Candidates should possess at least 2 years of relevant professional experience in facilities management/services, with the ability to create space planning and interpret architectural, electrical, and mechanical plans. Familiarity with contemporary IT applications, particularly AutoCAD, is mandatory. Desirable skills include technical proficiency, creativity, strong organizational and time management skills, and exceptional communication abilities.

Educational Background:
Candidates must have a Diploma of College Studies (DEC) in architecture, drafting, project management, or a related field. Additional certifications in project management methodologies, such as Prince II and MS Projects, are desirable and would enhance a candidate's profile.

Experience:
A minimum of 2 years of relevant professional experience in facilities management or services is essential. Candidates should demonstrate the ability to create space planning and interpret various technical plans, showcasing their familiarity with industry standards and practices.

Languages:
Fluent reading, writing, and speaking abilities in both English and French are essential for this position. A working knowledge of any other language of the Organization, such as Arabic, Chinese, Russian, or Spanish, is considered desirable and would be an asset.

Additional Notes:
This position is initially offered for a period of one year, with the possibility of renewal on a year-to-year basis, contingent upon the availability of funds, operational needs, and satisfactory performance. The consultant is expected to work full-time, five days a week, from 9:00 AM to 5:00 PM, with a minimum of three days per week required in the Montreal office. Occasional evening and weekend work may be necessary. As a consultant, this position does not include paid vacation or holiday days, insurance, or pension benefits. The monthly compensation for Band A ranges from CAD 3,991 to CAD 5,172, with a daily rate of CAD 186 to CAD 24
