Job Overview: The Facilities Assistant position at the World Bank's Ghana Country Office is crucial for providing administrative, logistical, and facilities management support to a diverse program and a large operations team. The successful candidate will report directly to the Operations Manager and will be responsible for a variety of tasks that ensure the smooth functioning of the office. This role involves managing logistics for incoming and departing international staff, overseeing facilities-related inquiries, and coordinating with various teams to maintain the office environment. The Facilities Assistant will also play a key role in supporting the Operations Manager in managing the office's pool of drivers, vehicle maintenance, and procurement of goods and services. This position is essential for maintaining a well-organized and efficient office environment, contributing to the overall success of the Country Management Unit (CMU) team.
Duties and Responsibilities: The Facilities Assistant will have a wide range of duties and responsibilities, including but not limited to: supporting the Operations Manager in logistics related to mobility services and visiting missions; leading the support for incoming and departing international staff, including administrative support and staff orientation; liaising with government entities for the country office's needs; coordinating logistical arrangements for VIP trips and visits; serving as IBRD's representative in facilities management discussions; overseeing facilities-related inquiries and ensuring timely resolution of issues; managing office space allocation and moving requests; overseeing vehicle fleet management; assisting in administrative tasks such as tracking vendor invoices and preparing tender documents; liaising with the security" style="border-bottom: 1px dotted #007bff !important;">Security team regarding office security plans; and coordinating the pool of drivers to ensure efficient service delivery.
Required Qualifications: Candidates must possess a Bachelor’s Degree and at least three years of progressive experience in a related field, preferably with an International Development Organization. Strong interpersonal skills, a service-oriented attitude, and excellent organizational and analytical skills are essential. Candidates should have advanced financial literacy, familiarity with the Ghana Ministry of Foreign Affairs, and the ability to multi-task and prioritize effectively. A positive and professional client service attitude is crucial, along with personal accountability to meet deadlines and achieve results. Collaboration and respect for diverse viewpoints are also important attributes for this role.
Educational Background: A Bachelor’s Degree is required for this position. Candidates with additional certifications or training in facilities management, logistics, or related fields will be viewed favorably. Educational qualifications should reflect a strong foundation in administrative support and organizational skills, which are critical for the successful execution of the Facilities Assistant's responsibilities.
Experience: The ideal candidate should have a minimum of three years of progressive experience in facilities management, administrative support, or a related field. Experience working with international organizations or in a multicultural environment is highly desirable. Candidates should demonstrate a proven track record of managing logistics, coordinating with various stakeholders, and providing exceptional service in a fast-paced setting.
Languages: Proficiency in English is mandatory, while knowledge of French is also required. Candidates who are fluent in additional languages will be considered an asset, as this can enhance communication with diverse stakeholders and contribute to a more inclusive work environment.
