Job Overview: The Project Assistant will play a crucial role in supporting the implementation and monitoring of program activities related to Migration, Environment, Climate Change, and Disaster Risk Reduction in Brazil. This position requires a proactive individual who can retrieve, compile, summarize, analyze, and present relevant information and data. The Project Assistant will provide essential administrative support to program implementation, which includes liaising with various organizational units and external parties to initiate requests, obtain necessary clearances, and process administrative actions. The role also involves drafting status reports, correspondence on project issues, and preparing various forms of documentation such as reports, briefing notes, and presentations. The Project Assistant will organize meetings, workshops, and training sessions, respond to general inquiries, and maintain files and records. Additionally, the individual will participate in meetings and conferences, assist in coordinating implementation with local authorities and stakeholders, and monitor the work of implementing partners, reporting any non-compliances to the supervisor.
Duties and Responsibilities: The duties and responsibilities of the Project Assistant include:
Assisting in the implementation and monitoring of program activities related to Migration, Environment, Climate Change, and Disaster Risk Reduction.
Retrieving, compiling, summarizing, analyzing, and presenting information and data relevant to the program.
Providing administrative support for program implementation, including liaising with various organizational units and external parties.
Drafting status reports and identifying shortfalls in delivery, bringing them to the attention of the supervisor, and suggesting remedial actions.
Drafting correspondence on project issues and preparing and updating reports, briefing notes, graphics, statistical tables, and presentations.
Organizing meetings, workshops, and training sessions.
Responding to general information requests and inquiries, and maintaining files and records.
Participating in meetings and conferences and assisting in coordinating implementation with local authorities, partners, and other stakeholders.
Monitoring the work of implementing partners and reporting non-compliances to the supervisor. 1
Performing other duties as assigned by the supervisor.
Required Qualifications: The required qualifications for the Project Assistant position include:
Previous experience of at least one year in a relevant work environment.
Knowledge of IOM’s MECR programming is desirable.
Proven professional experience working with migration or human rights issues.
Experience working collaboratively with a diverse team of colleagues from various cultural and professional backgrounds.
Strong organizational, time management, and prioritization skills.
Ability to analyze problems, identify alternative solutions, and implement recommendations effectively.
Educational Background: Candidates must possess a University Degree in the fields of Environmental Sciences, International Relations, Law, or Social Sciences from an accredited university. Accreditation is determined by the universities listed in the UNESCO World Higher Education Database, ensuring that candidates have received a recognized and quality education relevant to the position.
Experience: The position requires a minimum of one year of relevant work experience. Candidates should have previous experience in IOM’s MECR programming, as well as proven professional experience working with migration or human rights. Experience in a multicultural team environment is also essential, as the role involves collaboration with colleagues from diverse backgrounds.
Languages: Fluency in Portuguese and English is required for this position, both oral and written. Additionally, a working knowledge of Spanish is desirable. Proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments to ensure candidates meet the language requirements effectively.
Additional Notes: This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Brazil will be considered. Any offer made to the candidate is contingent upon funding confirmation.
