Job Overview: The Programme Management Assistant plays a crucial role in supporting the planning and implementation of departmental programmes and projects. The incumbent will assist in coordinating various aspects of programme/project planning, ensuring that proposals are monitored and relevant documentation is prepared for review and approval. The role involves compiling and summarizing data on specific programmes and related topics, reviewing project documents for compliance with rules and procedures, and serving as a focal point for administrative coordination. The assistant will also draft correspondence, prepare reports, and provide general office assistance, contributing to the overall efficiency of the office. This position requires a proactive approach to problem-solving and the ability to work collaboratively with various organizational units to facilitate programme/project implementation.
Duties and Responsibilities: The Programme Management Assistant will be responsible for a wide range of duties, including: assisting in the coordination of programme/project planning and preparation; monitoring the status of proposals and documentation; compiling and summarizing information/data on specific programmes; reviewing project documents for completeness and compliance; verifying budget revisions and availability of funds; serving as a focal point for administrative coordination; compiling and entering data on project delivery; drafting correspondence and preparing reports; providing general office assistance; responding to complex information requests; maintaining files and records; organizing meetings and workshops; and providing guidance and training to new or junior staff. The assistant will also perform other duties as assigned, demonstrating flexibility and adaptability in a dynamic work environment.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A minimum of five years of experience in programme or project administration, technical cooperation, or a related area is required. For candidates with a first-level university degree or higher, the minimum experience requirement is reduced to three years. Experience within the United Nations common system or a similar international organization is desirable, as is familiarity with Enterprise Resource Planning (ERP) systems such as Umoja. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a team-oriented environment.
Educational Background: The educational requirement for this position is a high school diploma or equivalent.
